MIS Data Clerk

Purpose: At Leavenworth Public Schools, every day brings a fresh opportunity to transform lives. We're seeking a dedicated and detail-oriented MIS Data Clerk to help us support students and staff serving in our special education programs. You’d thrive in this role if you are passionate about data management, have a strong attention to detail, and want to be part of a district that puts students first.

Reports To: Director of Special Education

Salary: Starting salary is $20.50 per hour, with increases for relevant education and experience

Qualifications

High school diploma or equivalent required; associate’s degree or higher preferred.
Proven experience with data entry and management information systems, ideally with a focus on special education-related data.
Strong attention to detail and ability to meet deadlines in a fast-paced environment.
Excellent organizational and communication skills, both written and verbal.
Knowledge of federal, state, and local special education regulations is a plus.
Proficiency in GoogleSuite, Microsoft Office Suite (Excel, Word, etc.) and other relevant data management tools.

Key Responsibilities

Data Management & Updates: Enter and update data for incoming, existing, or newly identified students in the district’s Management Information System (MIS), ensuring that all student data is accurate and up-to-date. Monitor discipline data in the student information system
State and Federal Reporting: Prepare and submit required state and federal MIS reports, including KSDE reporting and State Audits, ensuring compliance with all special education regulations.
Communication: Generate and distribute student demographics, caseload lists for service providers, enrollment information, modified testing details, and other relevant data to district staff and service providers.
Compliance & Record Maintenance: Assist the Director and staff to ensure that student records comply with state regulations. Maintain records of active and inactive student caseload logs.
Student Record Management: Support the Director and team in ensuring student records meet state regulatory requirements, while managing both active and inactive student files. Maintain accurate Medicaid documentation, including consents and caseload details, and collaborate with the billing agency to ensure smooth recordkeeping and compliance.
Caseload Rosters & Staff Distribution: Oversee caseload and roster records, ensuring they are distributed to district staff as instructed by administration, and generate reports as needed based on administrative data requests.
IEP System Support: Provide continuous support to staff on the IEP system and assist with record submissions to ensure accuracy and compliance.
Other Duties: Perform other duties as assigned by district leadership, contributing to the success and efficiency of the special education department.

Physical Requirements/Environmental Conditions

Ability to sit and stand for extended periods of time
Ability to enter data into a computer, to see and read a computer screen and printed material with or without vision aids
Ability to hear and understand speech at normal classroom or office levels and on the telephone
Ability to speak in audible tones so that others may understand clearly in normal classrooms, office spaces and on the telephone
Physical agility to lift up to 25 pounds to shoulder height and 50 pounds to waist height
Ability to bend, stoop, sit on the floor, climb stairs, walk and reach overhead

General Responsibilities

Adheres to all District policies and procedures

Duty Days: 12 month employee, reporting 260 days per year

Evaluation: Performance of this job will be evaluated in accordance with the provisions of the Board of Education’s policy on evaluation of classified staff.
