Your Role: Making a Meaningful Difference

As a Client Services Specialist, you are the first point of contact for many of the families we serve. You play an essential role in creating a positive experience while ensuring referrals, authorizations, scheduling, and documentation are completed accurately and efficiently.

Your work helps children access therapy services quickly while supporting therapists and families throughout the care process.

Key Responsibilities

Client & Family Support

Welcome families and visitors while providing exceptional customer service.
Answer incoming phone calls, emails, and electronic messages.
Schedule appointments and communicate appointment changes with families.
Check patients in and out of appointments.
Collect copays and process payments.
Assist families with required paperwork and evaluations.

Referral & Authorization Management

Receive and process incoming referrals.
Maintain referral tracking and interested party lists.
Coordinate insurance authorizations and prior approvals.
Request referrals and authorizations from physicians and insurance companies.
Obtain therapy prescriptions and continuation of care authorizations.
Monitor referral and authorization timelines to ensure timely services.

Documentation & Records Management

Maintain complete and accurate client files.
Perform chart audits for documentation completeness and required signatures.
Maintain plans of care and discharge documentation.
Enter and maintain client demographics, appointments, and documentation within WebPT.
Prepare reports and maintain ongoing tracking documentation.

Administrative Support

Coordinate daily office operations including phones, mail, filing, and correspondence.
Maintain inventory and order office supplies.
Support therapists with scheduling and communication.
Retrieve and respond to daily phone messages.
Ensure waiting areas remain clean, organized, and welcoming.
Meet documentation, billing, and departmental deadlines.
Perform additional administrative duties as assigned.

What We're Looking For (Requirements)

Education

High school diploma or equivalent required.

Experience

Previous experience working in a fast-paced office environment.
Experience in healthcare, medical office, or therapy clinic settings preferred.

Technical Skills

Proficiency with Microsoft Office (Word, Excel, Outlook, and Microsoft Teams).
Experience with electronic medical records (WebPT preferred).
Strong organizational and data entry skills.

Language Skills

Fluent Spanish required to effectively serve our bilingual families.

Professional Skills

Excellent customer service and interpersonal skills.
Strong attention to detail and organizational abilities.
Ability to multitask while maintaining accuracy.
Strong written and verbal communication skills.
Ability to prioritize work independently and adapt to changing priorities.
Sound judgment and decision-making skills.

Physical Requirements

This position regularly requires the ability to:

Lift and carry up to 40 pounds, such as office supplies or equipment.
Stand and walk for extended periods throughout the workday.
Bend, stoop, crouch, kneel, and reach as needed.
Perform repetitive computer and administrative tasks.
Move throughout the clinic while assisting families and staff.
Operate standard office equipment.
Possess a valid driver's license if travel between clinic locations is required.
