Full Job Description

Pavement Maintenance, Inc. is expanding operations throughout the Pacific Northwest, serving the Vancouver, Washington and Portland, Oregon markets. Our work includes asphalt paving, concrete construction, pavement maintenance, and both public and private sector projects. As the company continues to grow, we are seeking a Construction Accounting Specialist who enjoys working in a fast-paced environment and wants to play a key role in supporting active construction projects and business growth.

Position Summary

The Construction Accounting Specialist serves as a critical link between accounting, project management, operations, and customers. The role is responsible for construction billing, accounts receivable, collections, job cost support, accounts payable processing, certified payroll reporting, and maintaining accurate financial information across multiple systems.

The ideal candidate is detail-oriented, organized, curious, and enjoys solving problems. Success in this role requires the ability to investigate discrepancies, follow up on missing information, work independently, and manage multiple priorities while supporting active construction projects.

Key Responsibilities

Accounts Receivable & Construction Billing

Manage daily customer billing activities
Process customer payments, deposits, and EFT transactions
Prepare and distribute weekly invoices
Perform sweep invoicing and invoice reconciliation activities
Generate customer statements and manage aging reports
Conduct collections activities and customer follow-up
Monitor retainage balances and lien rights
Prepare retention notices and lien documentation when necessary
Process customer payments through various online customer portals
Coordinate with project managers, operations teams, and sales staff to obtain required billing documentation
Ensure timely and accurate construction invoicing

Job Cost & Construction Accounting

Assist with job cost tracking and reconciliation across projects
Review project cost reports and identify discrepancies
Audit billing accuracy and supporting documentation
Perform monthly reconciliations between Service Autopilot, Simpro, QuickBooks, and related systems
Support preparation of WIP (Work in Progress) schedules
Assist with revenue recognition and project financial reporting

Accounts Payable

Process vendor invoices and supporting documentation
Match invoices to purchase orders and approvals
Reconcile company credit card statements
Enter AP transactions into QuickBooks
Prepare payment reports for review and approval
Manage vendor communications and payment inquiries
Maintain vendor records and compliance documentation

Payroll & Compliance

Manage certified payroll reporting for prevailing wage and government-funded projects
Support payroll-related compliance activities
Assist with labor tracking and payroll reconciliations
Support sales and use tax reporting and compliance requirements

Process Improvement & Systems

Serve as a subject matter expert for customer and vendor portals
Maintain specialized billing and tracking spreadsheets
Identify opportunities to improve accounting workflows and efficiencies
Assist in documenting procedures and strengthening internal controls
Support optimization of accounting systems and processes

Qualifications

Required

2+ years of accounting, construction accounting, AP, AR, or bookkeeping experience
Experience with invoicing, billing, accounts receivable, or accounts payable
Strong attention to detail and accuracy
Proficiency in Excel, including pivot tables, lookups, and data analysis
Ability to investigate discrepancies and solve problems independently

Preferred

Construction accounting experience
Certified payroll or prevailing wage reporting experience
Experience with QuickBooks
Experience with Service Autopilot, Simpro, GC Pay, LCP Tracker, or similar systems
High school diploma or equivalent
Familiarity with job cost accounting, WIP reporting, and construction billing

This role is primarily based out of our Vancouver, Washington office in the Ridgefield area and may also support operations from the Portland office as needed.

Compensation for this position is $25.00 to $35.00 per hour, depending on experience.
