Full Job Description

Locations: Position will be split between Century City (Primarily) & Tarzana locations.

Position Summary

The Patient Care Coordinator (PCC) is responsible for delivering an exceptional patient experience and ensuring smooth operations of the audiology and hearing aid practice. This position serves as the primary point of contact for patients, coordinates all aspects of their care, supports the audiologists and hearing instrument specialists, and manages front office functions including scheduling, insurance verification, billing support, and hearing aid order processing.

Key Responsibilities

Patient Experience & Communication

Greet patients and visitors warmly, creating a welcoming environment.
Act as the primary liaison between patients, providers, and third-party payers and personal injury billing team.
Answer phones, respond to patient inquiries, and manage voicemail/email communications promptly.
Educate patients on hearing aid care, service follow-up schedules, and financing options.

Scheduling & Coordination

Schedule new and follow-up appointments, diagnostic testing, and hearing aid fittings.
Confirm and remind patients of appointments to minimize no-shows.
Coordinate provider schedules across multiple locations if applicable.
Track and manage recall lists to maintain continuity of care.

Insurance & Billing Support

Verify patient insurance benefits for audiology services and hearing aids.
Obtain necessary authorizations or pre-certifications for services and procedures.
Collect co-pays, deductibles, and balances at time of service.
Work with billing department to resolve claim denials and patient billing questions.

Clinical & Administrative Support

Prepare patient charts, upload reports, and ensure accurate EMR documentation.
Support providers by preparing rooms and assisting with minor clinical tasks (e.g., checking hearing aid inventory, cleaning devices, troubleshooting basic issues).
Process hearing aid orders, track shipments, and manage warranty/repair requests.
Maintain office supplies, equipment, and patient education materials.

Hearing Aid Sales & Follow-Up

Assist with scheduling consultations and demonstrations.
Support the provider in explaining financing, warranty, and service plans.
Follow up with patients after fittings to ensure satisfaction and adherence.

Qualifications

Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
Experience: 1–3 years in audiology, ENT, or hearing aid practice required.
Skills:

- Strong customer service and communication skills

- Knowledge of insurance verification and billing

- Proficiency with EMR systems (e.g., Sycle, EarCounsel) and Microsoft Office Suite

- Excellent organizational and multitasking abilities

- Attention to detail and a high degree of professionalism

Reliable, punctual, and able to maintain confidentiality (HIPAA compliance)

Compensation: $23-$25 per hour plus benefits.
