Full Job Description

Administrative & Business Development Manager

Position Type: Full-Time (40 hours/week)

Schedule: Monday–Friday, between the hours of 7:00 AM – 5:30 PM. Hours may vary based on center staffing and business needs.

Work Location: In Person

Position Summary

The Administrative & Business Development Manager oversees all aspects of the center’s daily operations, including financial administration, staff management, marketing, and strategic growth. This leadership role works closely with ownership to ensure operational excellence, drive enrollment growth, foster community engagement, enhance brand awareness, and support overall business performance. The ideal candidate is highly organized, results-driven, and able to balance both administrative functions and business development initiatives to promote the long-term success of the center.

Key Responsibilities

Program & Operational Management

Oversee daily center operations and administrative functions.
Assist in managing employees and maintaining efficient staffing levels.
Coordinate classroom coverage and staff scheduling.
Provide classroom coverage when necessary.
Review and manage employee time-off requests.
Collaborate with leadership on employee performance management and disciplinary matters.
Recruit, interview, hire, onboard, and retain qualified staff.
Ensure child, parent, visitor, and staff sign-in/sign-out procedures are accurate and compliant.
Develop and implement operational procedures that improve efficiency, productivity, and customer satisfaction.
Monitor key performance indicators and recommend operational improvements.

Financial Management

Manage payroll administration and coordinate with outside payroll vendors.
Create and submit purchase requisitions and expense documentation.
Respond to parent billing and financial inquiries professionally and promptly.
Monitor budgets, expenses, and operational costs.
Analyze business and financial trends to identify cost-saving opportunities and increase profitability.
Support revenue growth through enrollment management and retention initiatives.

Marketing & Business Development

Develop and execute social media marketing strategies across platforms including Facebook, Instagram, LinkedIn, and other relevant channels.
Create engaging content that promotes programs, events, staff accomplishments, and enrollment opportunities.
Monitor social media performance metrics and adjust strategies to maximize engagement and reach.
Coordinate digital marketing campaigns, email communications, and community outreach efforts.
Manage the center’s online reputation by responding to reviews and maintaining positive community engagement.
Develop partnerships with local businesses, schools, and community organizations to increase visibility and enrollment.
Plan and support marketing events, open houses, tours, and enrollment campaigns.
Identify new opportunities for business growth, customer acquisition, and brand expansion.
Research market trends and competitor activity to strengthen the center’s market position.
Recommend new initiatives that support organizational goals, revenue growth, and customer satisfaction.

Enrollment & Family Relations

Serve as a primary point of contact for prospective and current families.
Conduct tours and provide information regarding programs and enrollment opportunities.
Support family retention initiatives through exceptional customer service and communication.
Track enrollment trends and implement strategies to maintain or increase occupancy levels.
Assist with parent communications, newsletters, and center announcements.

Additional Responsibilities

Perform other duties as assigned to support organizational success and growth.

Minimum QualificationsEducation

High School Diploma or equivalent required.
Bachelor’s Degree in Business Administration, Marketing, Management, Early Childhood Education, or related field preferred.
Associate’s Degree in Early Childhood Education or Business Management considered.

Experience

Minimum of 3 years of experience in business management, administration, early childhood education, marketing, or a related field.
Experience managing staff and daily operations required.
Experience in social media marketing, customer engagement, or business development preferred.
Early childhood education experience preferred.

Preferred Experience

Childcare: 1 year preferred
Social Media Marketing: 1 year preferred
Business Development or Enrollment Management: 1 year preferred

Strong leadership and team management skills.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational and time management abilities.
Proven ability to manage multiple priorities in a fast-paced environment.
Experience with social media platforms, digital marketing, and content creation.
