Full Job Description

Overview

We are seeking a dynamic and highly organized Business Office Manager to lead the administrative and operational functions within a healthcare practice. This pivotal role combines financial oversight, team supervision, compliance management, and patient service excellence to ensure the smooth running of daily operations. The ideal candidate will bring a proactive approach, exceptional management skills, and a comprehensive understanding of healthcare office workflows to foster an efficient, compliant, and patient-centered environment.

Responsibilities

Monitor’s billing and collection activities. Coordinates with third party biller if applicable.
Assures proper accounting procedures and controls are in place and followed, especially segregation of duties.
Analyzes collections on a monthly basis.
Responsible for all aspects of the resident trust accounting system, including security of patient funds.
Manage the Medicaid pending application and conversion process to ensure timely resolution.
Ensures procedures are followed to achieve an accurate and timely closing at month end and is the coordinator for the triple check process.
Ensures all required records are maintained and submitted, as appropriate, in an accurate and timely manner and in compliance with federal and state regulations
Hires and provides orientation/training
Payroll, bi-weekly
Assist in the Quality Assurance and Performance Improvement (QAPI) process

Qualifications

Proven experience in medical office management or healthcare practice management with a strong background in clinic or dental office environments.
Demonstrated supervisory experience leading teams within a healthcare setting.
Extensive knowledge of fiscal management practices including budgeting, financial analysis, and medical billing processes.
Proficiency with EMR/EHR systems such as Eaglesoft, Dentrix, Epic, or eClinicalWorks; familiarity with managing electronic health records is essential.
Strong understanding of healthcare regulations including HIPAA compliance and JCAHO standards.
Excellent managerial communication skills paired with customer service expertise to support staff development and patient satisfaction.
Experience with managing healthcare staff in acute care or hospital settings is highly desirable.
Knowledge of medical terminology, medical records management, and health regulation policies is required for success in this role.
