Position Overview
The Controller oversees all financial and accounting operations for McClintock & Associates and provides leadership for the firm’s finance department. Reporting to the Chief Operating Officer, this role is responsible for managing the firm’s payroll and benefits, accounts payable and receivable, budgeting, and financial reporting functions. The Controller ensures the firm’s financial health through accurate reporting, compliance with regulatory requirements, and forward-looking forecasting.
This position also plays a key role in firm operations by overseeing licensing and compliance requirements, managing tax and legal relationships, and supporting employee onboarding and benefits administration. The Controller serves as a trusted partner to leadership, providing insight, accuracy, and accountability in all aspects of the firm’s financial management.
Key Responsibilities
Financial Management
· Oversee and manage all accounting and finance operations, including accounts payable, accounts receivable, payroll, cash management, and banking relationships.
· Process and monitor client and miscellaneous receipts, deposits, and cash activity, ensuring accurate recording in firm systems.
· Prepare monthly and annual financial statements, forecasts, budget reports, and board or leadership reporting packages.
· Maintain accurate accounting records and ensure timely completion of reconciliations, journal entries, and other financial activities.
· Monitor financial performance, analyze variances, identify trends, and recommend strategies to improve profitability and operational efficiency.
· Prepare and monitor departmental and firm-wide profitability analyses and related reporting.
· Partner with the COO and leadership team to develop annual budgets and monitor financial results against firm goals.
· Provide financial and operational insights to leadership to support decision-making and long-term planning.
Payroll, Benefits, and Human Resources Support
· Manage payroll processing, employee benefits administration, and related compliance activities.
· Administer 401(k) plan activities, including coordination of annual nondiscrimination testing, Form 5500 review, and related reporting requirements.
· Process annual bonus payments and oversee payroll-related compliance requirements.
· Manage employee onboarding and offboarding processes, including setup and maintenance within payroll, benefits, and internal systems.
· Ensure accurate administration of benefit programs and maintain relationships with benefit providers.
Billing & Revenue Cycle Management
· Oversee client billing processes, ensuring accuracy, timely invoice distribution, and effective work-in-process (WIP) management.
· Monitor employee time entry compliance and billing readiness to support accurate and timely invoicing.
· Collaborate with firm leadership and client service teams to improve billing efficiency and collection performance.
Compliance, Tax & Risk Assessment
· Oversee firm licensing, annual state reporting requirements, insurance renewals, and compliance with state and federal regulations.
· Coordinate with external tax preparers and legal advisors on firm-level filings, audits, and other compliance matters.
· Prepare or coordinate annual information reporting requirements, including Forms 1099 and other required filings.
· Oversee use tax filings and other applicable tax compliance requirements.
· Ensure compliance with internal policies, regulatory requirements, and industry best practices.
Operations & Strategic Support
· Participate in the development, implementation, and continuous improvement of internal workflows, procedures, and controls.
· Prepare and coordinate firm participation in industry benchmarking and survey initiatives, including applicable AICPA, Rosenberg, Boomer, and other professional surveys.
· Attend and contribute to departmental Level 10 (L10) meetings, providing updates on responsibilities and supporting progress toward team goals.
· Maintain a thorough understanding of the firm’s mission, vision, strategic objectives, and core values, and support initiatives that advance them.
· Perform additional duties as assigned to support firm operations and strategic initiatives.
Qualifications & Skills
· Bachelor’s degree in Accounting or Finance required; CPA preferred.
· 7–10 years of progressive experience in accounting or finance, including experience managing payroll, accounts payable, and accounts receivable.
· Experience in public accounting preferred but not required.
· Proficiency with Microsoft Office, QuickBooks, and accounting or practice management software.
· Experience with benefits administration and payroll systems.
· Excellent organizational, analytical, and problem-solving skills with strong attention to detail.
· Ability to analyze data, identify trends, and provide actionable recommendations to leadership.
· Strong interpersonal and communication skills, with the ability to maintain confidentiality and build trust across departments.
· Proven ability to work independently, prioritize multiple tasks, and meet deadlines in a fast-paced environment.
