Full Job Description

The Administrator serves as ambassador to the facility. The position is responsible for the day-to-day administration of program, services, and financial operations; planning, development, implementation, evaluation, and improvement of program services; management of staff; and the delivery of high quality services as determined by the tenants and their families. The Administrator is responsible for ensuring operations of a program consistent with the facility and the assisted living industry.

Facility Specific – Essential Duties and Responsibilities:

1. Assures the provision of high quality services needed and/or desired by the tenants.

2. Attains and/or maintains ongoing compliance with appropriate local, state, federal, regulatory, and/or accrediting body standards. Ensures that the facility is prepared for inspection by regulatory agencies through regular auditing and updating of facility policies and procedures, resident records documentation, environmental standards, etc.

3. Attains and/or maintains the targeted occupancy levels established by the Board of Directors.

4. Strives to attain excellence in customer satisfaction through on-going solicitation and measurement of consumer feedback, implementation of customer suggestions, interactive problem solving with the tenants, and an annual program evaluation and quality assurance effort.

5. Makes measurable improvements in the overall coordination of all aspects of the facility programs and services.

6. Monitors and maintains cost control and completes all bookkeeping procedures such as all aspects of payroll, accounts receivable and payable, and Medicaid billing.

7. Hires, trains, supervises, motivates and evaluates staff to ensure the provision of high quality services to tenants. Provides on-going support, direction, supervision, and feedback regarding job performance of all staff, including contracted staff and volunteers. Documents evaluation of job performance. Actively promotes staff participation and involvement in the day-to-day operations and decision-making. Promotes team building through participation and/or leadership at regular staff meetings.

8. Responsible for ensuring that a safe and sanitary environment is provided for staff, tenants, family members, and visitors, and makes efforts to reduce safety hazards, accidents and injuries. Investigates resident, family, visitor, and employee incidents, identifies safety hazards, and initiates corrective action.

9. Responsible for support and participating in the resident-centered activity program.

10. Takes initiative to actively plan, develop, and implement expansion and or innovation in program services.

11. Develops and assures implementation of the facility’s marketing plan.

12. Makes an active contribution toward improving community relations, increasing positive public regard and overall awareness of the available programs and services.

13. Monitors, on a routine basis, key measurable indicators of daily operations such as food costs, etc.

14. Maintains appropriate levels of confidentiality.

15. Demonstrates an appreciation of the heritage, values, and wisdom of the tenant and an understanding of the aging process.

16. Continues to expand personal and professional knowledge through attendance at applicable conferences and continuing education opportunities.

17. Prepares monthly, or as required, the reports of financial and operating information as requested by the Board of Directors.

18. Attends all Board of Director meetings.

Resident Services - Essential Duties and Responsibilities:

1. Plans and delegates work assignments assuring effective scheduling on a 24-hour basis.

2. Provides case management services to tenants, ensuring completion of pre-occupancy screening, assessment/reassessment, and the negotiated service plan in conjunction with the tenant’s family, physician, and other necessary individuals. Facilitates and encourages family involvement with tenants.

3. Coordinates move-in and orientation of new tenants to the facility, thus contributing to a satisfactory integration in the community.

4. Responsible for monitoring and maintaining records reflecting the tenant’s physical and mental condition. Sees that significant changes in a tenant’s condition are reported to their family (or designee) and physician.

5. Responsible for documents of medication supervision and noting tenant’s response. Sees to follow through on medication change orders received from the physician.

6. Responsible for documentation of tenant incidents.

7. Orients new staff. Coordinates the development of an in-service training program and facilitates the access of training for staff in order to maintain and provide high quality service.

Other Duties:

1. Other duties as assigned by the Board of Directors.

2. The Administrator will have an understanding of all service positions at the facility.

Qualifications:

1. Must have experience in the health, human services, and/or community services field.

2. Must possess strong organizational and time-management skills. Must be able to conceptualize, organize, and implement a plan for the facility, anticipate problems, and plan for the future.

3. Must have demonstrated ability to hire, direct, and manage personnel.

4. Must possess a high degree of interpersonal skills and the capability of relating to a variety of people and personalities. Considerable initiative, judgment and leadership skills are required.

5. Must demonstrate an understanding of the business or providing aging and support services, including assisted living. The understanding shall include all elements of organization, governing body, financing, and daily operations. Must be able to communicate the facility philosophy and goals. Knowledge of the available services along the continuum of care is essential, and to develop and nurture relationships with other service providers.

6. Must have excellent oral and written communication skills.

7. Must be proficient in Quickbooks Pro and performing bookkeeping services utilizing this program. Must be able to complete payroll, accounts receivable, accounts payable, and billing of Medicaid clientele through the use of UB-4’s.

8. Must be proficient in utilizing programs in Word, Excel, Power Point, and Publisher.

9. Must be committed to providing quality services.

10. Must be proficient in Medicaid Waiver Program utilization.
