About Us

We are a well-established, Medicaid-licensed Home and Community-Based Services (HCBS) agency providing Community Living Supports (CLS) to individuals with intellectual and developmental disabilities throughout Oregon. Our team of 200+ Direct Support Professionals (DSPs) supports 150+ individuals and their families under Oregon's ODDS/ODHS system. We're growing and looking for a detail-oriented Compliance & Records Specialist to join our HR team.

About the Role

The Compliance & Records Specialist is a remote position responsible for ensuring that all Direct Support Professionals (DSPs) maintain current, accurate, and complete training records, and that all client and staff documentation and records requests are processed accurately and on time. This person will directly connect with DSPs who fall out of compliance — providing reminders and clear guidance on what's needed to get back on track — and will loop in HR when a situation requires disciplinary follow-up. Some working knowledge of HR practices is expected, though this is not a standalone HR role.

What You'll Do

Training Compliance & Coordination

Monitor and track training compliance for a large team of DSPs, ensuring required trainings, certifications, background-checks, and renewals are completed and up to date
Help coordinate and schedule required trainings, including new-hire orientation/training, DSP core competencies, nurse delegation, CPR/First Aid, and other state-mandated continuing education
Process and file new training documentation as it's completed
Send proactive reminders to staff and supervisors regarding upcoming expirations or missing requirements
Maintain an accurate training tracker and generate compliance reports for leadership
Directly contact DSPs who are out of compliance to remind them of what's due and provide clear guidance on how to resolve it
Document outreach and follow-up attempts, and escalate unresolved or repeated compliance issues to HR for disciplinary review
Processing Onboarding

Records & Documentation Management

Receive, process, track, and route incoming documentation and records requests, including physician orders, DNR documentation, and other client medical or support documentation, in accordance with established agency procedures and applicable requirements
Route documentation requests to the appropriate staff, physicians' offices, case management entities, or family/guardians, and follow up to ensure timely completion
Maintain organized, accurate, and confidential client and staff records in accordance with applicable HIPAA requirements, Oregon law, Medicaid/ODDS requirements, and Company policies and procedures
Ensure required documentation is accurately entered, uploaded, routed, or filed in applicable case management, EVV, and agency systems within required timeframes
Flag missing, incomplete, or expiring documentation and coordinate with HR to resolve issues before they become compliance risks

General Compliance Support

Maintain audit-ready records and assist with responding to documentation requests from ODDS, ODHS, Medicaid, case management entities, auditors, and other authorized parties, as directed by agency leadership
Identify documentation deficiencies and escalate potential compliance concerns to the appropriate supervisor or department
Stay current on relevant state training and records requirements
Recommend process improvements to strengthen compliance systems
Maintain strict confidentiality of client and employee records at all times
Perform other related duties as assigned that are consistent with the position's responsibilities, qualifications, and applicable laws and regulations.

What We're Looking For

High school diploma or equivalent required; associate degree or coursework in HR, healthcare administration, or a related field preferred
Prior experience in HR, compliance, records management, or administrative support, ideally within healthcare or Medicaid-funded services
Familiarity with DSP training requirements and state HCBS regulations preferred; willingness to learn required
Working knowledge of HR practices and boundaries (what can be handled directly vs. what requires HR/disciplinary involvement)
Excellent organizational skills with strong attention to detail
Ability to manage a high volume of documentation and multiple deadlines simultaneously
Strong written and verbal communication skills, with the confidence and tact to have direct, sometimes difficult, compliance conversations with staff
Comfortable working independently in a remote environment with minimal day-to-day supervision
Comfortable handling confidential health, client, and employment information in accordance with applicable privacy and confidentiality requirements
Proficiency with Microsoft Office/Google Workspace; experience with case management or EVV systems is a plus
Self-motivated and able to work both independently and as part of a collaborative team
