Summary:
The Marina Administration Supervisor is a critical support role responsible for managing administrative operations and delivering exceptional guest services at IGY Savannah Harbor Marina. This position bridges front office operations with back-end administrative functions, ensuring seamless coordination between departments and maintaining high service standards. The Supervisor supports accounting processes, handles operational reporting, and assists in fostering a welcoming, efficient environment for guests and vendors.
Essential Duties and Responsibilities include the following (other duties may be assigned):
- Supervises and provides day-to-day direction to Marina Office Administrators, ensuring consistent execution of administrative processes, customer service standards, and office procedures.
- Works closely with marina management to ensure all vessel arrival, check-in, and departure procedures are carried out accurately, efficiently, and in accordance with established policies and service standards.
- Provides exceptional customer service and ensures all guests receive a professional and welcoming experience while visiting the property.
- Identifies, investigates, and resolves billing discrepancies and administrative issues in a timely manner.
- Ensure that all guest charges, payments, and invoices are accurately maintained and updated.
- Maintains compliance with company policies regarding cash handling, credit card processing, accounts receivable, and other forms of payment collection.
- Verifies that guest accounts are balanced daily and supports month-end close activities in coordination with IGY corporate finance.
- Ensures that all opening, closing, and month-end administrative procedures are completed accurately and in accordance with corporate requirements.
- Manages customer contracts and agreements, including preparation, execution, renewals, recordkeeping, and ensuring compliance with established company policies and standards.
- Promotes effective communication and teamwork between the marina office and all operational departments, including dock operations, security, maintenance, and management.
- Participates in and supports all marina health, safety, and emergency response programs, including required training and drills.
- Oversees and administers required reporting, including utility tracking, fuel inventory files, occupancy reports, revenue analysis, key performance indicators, and other operational metrics.
- Ensures that the marina office, reception areas, and associated equipment are maintained in a clean, organized, secure, and professional manner.
- Oversees the handling of guest inquiries, telephone calls, reservations, concierge requests, and other communications to ensure prompt and courteous service.
- Implements and promotes the IGY guest feedback program and assists in the resolution of guest concerns and service issues.
- Orders and maintains office supplies, equipment, and related inventories to support efficient operations.
- Administers parking and access control records, security provisions, and office key management, as applicable.
- Serves as the primary administrative contact for vendor management, ensuring that vendors maintain current insurance certificates, W-9 forms, and all required documentation.
- Reviews existing office procedures and recommends process improvements to enhance efficiency, accuracy, and overall guest experience.
- Supports onboarding and training of office personnel and assists with scheduling and performance management activities as directed by marina management.
- Assists with preparation of reports, presentations, budgets, and other administrative projects to support marina operations and business objectives.
- Ensure compliance with established company policies, procedures, and corporate standards.
- Performs other duties and responsibilities as assigned by marina management.
Supervisory Responsibilities:
- Directly supervises Marina Office Administrators and carries out supervisory responsibilities in accordance with company policies and applicable laws.
- Assists with employee training, scheduling, performance feedback, and maintaining service standards within the marina office.
- Fosters a culture of teamwork, accountability, and exceptional customer service.

Education/Experience:
Associate degree (A.S.) preferred and/or a combination of 5 years of service experience in increasingly complex roles, including accounting or billing supervisory experience.
Language Ability:
Excellent command of the English language required. Spanish is also preferred but not required.
Required Skills:
Advanced skills in spreadsheet/word processing software packages; intermediate skills in Power Point and/or graphics/publication software and Outlook.
