Work Location: Hybrid - onsite at least once per week and as needed for meetings and
collaboration at offices in Chicago or Springfield. Occasional travel to statewide will also be necessary to support project execution and

Position Overview
The Business Process Re-Engineering and Change Management Specialist provides highlevel project management across multiple departments, including pharmaceutical
operations, nursing, and medical prescribers. The role gathers cross-functional
requirements, leads documentation, training, and software implementation efforts, and
supports the transition from paper-based to digital workflows—particularly within
pharmacies and pharmacy software environments.
The Specialist partners with business leaders, end users, and technical teams to
streamline processes, modernize legacy systems, and ensure successful deployment of
enterprise solutions aligned with organizational goals. Also, lead change management
initiatives to ensure successful user adoption of new software by emphasizing its benefits.
Key Responsibilities
Business Process Re-engineering & Change Management
- Redesign and optimize business processes to improve efficiency, effectiveness, and
alignment with organizational goals.
- Support business units in adapting to new systems, revised workflows, and
operational changes.
- Develop and execute change management strategies, ensuring clear
communication, stakeholder engagement, and adoption readiness.
- Cross-Department Project Coordination (Pharmaceutical Domain):
Manage cross-department project activities by collecting requirements, overseeing
documentation, coordinating training, and leading software implementation
initiatives to support paperless operations in pharmacies and pharmacy software
environments.
- Medical Workflow Project Leadership:
Provide PM leadership for medical workflow projects, ensuring timely delivery,
quality compliance, and effective stakeholder coordination.
Strategic IT Planning
- Partner with leadership to ensure IT strategies, investments, and programs align
with broader business objectives.
- Evaluate emerging technologies and recommend solutions that enhance
operational performance.
Project Management
- Lead complex projects from initiation through completion, ensuring delivery within
scope, schedule, and quality parameters.
- Coordinate cross-functional teams, including business stakeholders, technical
staff, and external vendors—to ensure cohesive project execution.
- Develop detailed project plans and implementation timelines covering technical
milestones, business readiness activities, and communication needs.
- Identify technical, operational, or workflow-related risks; develop and maintain
mitigation and contingency strategies.
- Provide status reporting, issue tracking, and escalation management to ensure
consistent progress and transparency.
Logistics & Operational Support
- Ensure efficient logistical and operational support for ongoing project and business
requirements.
- Manage dependencies, resource allocations, and operational constraints to
maintain continuity.
Administrative Workflow Management
- Oversee high-volume administrative workflows to maintain operational consistency
and organizational compliance.
- Streamline processes to reduce bottlenecks and improve turnaround times.
Enterprise Content Management (ECM)
- Support implementation, configuration, and ongoing operation of ECM solutions.
- Collaborate with business users to ensure proper adoption, governance, and
content lifecycle management.
Mainframe Software Modernization
- Assist with transitioning legacy systems toward modern platforms and
technologies.
- Support process mapping, requirement translation, and change readiness for
modernization efforts.
Critical Thinking & Information Analysis
- Analyze, evaluate, and reconcile conflicting information obtained from diverse
stakeholder groups.
- Translate high-level business concepts into detailed, actionable requirements.
- Generalize detailed technical or operational data into broader business insights.
- Distinguish user requests from core business needs to appropriately prioritize
enhancements.
- Oversee system testing, defect validation, and end-user acceptance processes
prior to Go-Live.
Analytical & Communication Excellence
- Evaluate complex systems and workflows to identify inefficiencies and recommend
improvements.
- Prepare clear, concise, and well-structured written documentation, including policy
drafts, audit responses, and process materials.
- Collaborate with internal and external stakeholders to identify, address, and
remediate compliance gaps.
Business-Technical Liaison
- Bridge communication and understanding between business users and technical
teams.
- Ensure alignment of expectations, requirements, and solution objectives across all
parties.
- Facilitate workshops, requirement sessions, and demonstrations to ensure clarity
and decision-making.
Documentation & Process Modeling
- Create comprehensive documentation such as:
o Use Cases
o Workflow Diagrams
o Process Maps
o Business Requirements Documents (BRDs)
o Functional and Technical Specifications
- Maintain version control and documentation governance throughout the project
lifecycle.
IT Governance & Compliance Knowledge
- Demonstrate familiarity with SOC 1, SOC 2, and SOC 3 reporting frameworks and
associated controls.
- Possess working knowledge of NIST, ISO 27001, GDPR, CCPA, HIPAA, and similar
compliance or data-protection standards.
- Support audit inquiries, risk remediation, and compliance reporting efforts.
Technical Skills
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Visio, MS Project).
- Experience using Azure DevOps or similar work-tracking and project management
tools.
- Ability to work with technical documentation, system workflows, and business
process diagrams.
Qualifications (Optional / Add if Needed)
- Bachelor’s degree in information systems, Business Administration, Computer
Science, or related field.
- 5-10 years of experience in business process re-engineering, project management,
or change management.
- Experience supporting large-scale system implementations, specifically leading
healthcare technology implementations., ECM platforms, or modernization
initiatives,
- Understanding of Pharmacy EHR systems and experience with their implementation
in pharmacy environments is a plus.
- Experience in the medical field or working with medical related systems is a plus.
- Strong analytical, documentation, and communication capabilities.
