About the St. George Children’s Museum
The St. George Children’s Museum is a hands-on, interactive museum where children and families are encouraged to discover, imagine, and create through educational play.
We are seeking an organized, dependable, and people-focused Operations Manager to lead the museum’s daily operations and help create an exceptional experience for every guest, employee, and volunteer.
This is a hands-on leadership position for someone who enjoys developing people, strengthening systems, solving problems, and managing multiple priorities. Every day at the museum is different, making this a rewarding opportunity for someone who wants to make a meaningful impact in the community.
Position Overview
The Operations Manager leads the museum’s day-to-day staffing, guest service, scheduling, communications, and administrative operations.
This position directly supervises museum employees and owns the museum’s volunteer program. The Operations Manager also provides operational oversight for the front desk, admissions, gift shop, educational activities, and internal systems.
The Operations Manager works closely with the Executive Director, Events Coordinator, and other museum employees to ensure responsibilities are coordinated and the museum operates safely, efficiently, and professionally.
Primary Responsibilities
Team Leadership and Employee Management
- Recruit, interview, onboard, train, supervise, and support museum employees.
- Prepare and maintain employee schedules based on attendance, programming, and operational needs.
- Provide clear direction, communicate expectations, and promote employee accountability.
- Conduct employee evaluations, coaching, training, and staff meetings.
- Address employee concerns, performance issues, and disciplinary matters professionally and consistently.
- Foster a supportive, collaborative, and mission-focused workplace culture.
- Ensure employees have the information, training, and resources needed to perform their work successfully.
Daily Museum Operations
- Oversee the museum’s daily operations and coordinate employee assignments.
- Ensure opening, closing, front desk, admissions, and office procedures are completed properly.
- Maintain a safe, clean, organized, and welcoming environment for guests, employees, and volunteers.
- Provide visible leadership throughout the museum and support employees during busy or unusual situations.
- Respond to guest questions, concerns, and complaints with professionalism and care.
- Identify operational challenges and work with the appropriate employees to develop practical solutions.
- Ensure established museum policies and procedures are consistently followed.
- Coordinate emergency, safety, and incident-response procedures when needed.
Events and Programs
- Coordinate scheduling and staffing for field trips, birthday parties, after-hours rentals, and museum events.
- Maintain accurate internal calendars and communicate operational needs to affected employees.
- Work alongside the Events Coordinator to ensure events and programs are properly staffed, prepared, and supported.
- Help identify and resolve scheduling, staffing, or operational concerns related to programs and events.
Educational Activities
- Supervise the employees or volunteers assigned to weekly educational activities and drop-in programs.
- Ensure activity schedules, staffing, supplies, and operational needs are coordinated.
- Work with the Executive Director and appropriate employees to review program quality and guest participation.
- Support improvements that strengthen the educational value and visitor experience of museum activities.
Volunteer Program
- Lead the museum’s volunteer recruitment, interviewing, onboarding, training, scheduling, supervision, and recognition.
- Match volunteers with appropriate and meaningful service opportunities.
- Maintain accurate volunteer records, schedules, and communications.
- Ensure volunteers receive clear expectations, appropriate assignments, and adequate supervision and support.
- Address volunteer concerns and performance issues professionally.
- Evaluate volunteer needs and identify opportunities to strengthen the museum’s volunteer program.
Gift Shop Supervision
- Provide supervisory oversight for the museum gift shop and the employees assigned to its daily operation.
- Work with the Executive Director to select merchandise that supports the museum’s mission, guest interests, and revenue goals.
- Guide routine purchasing, pricing, product placement, and inventory decisions within established budgets and procedures.
- Ensure assigned employees maintain accurate inventory records, place approved orders, receive merchandise, restock products, and keep the gift shop organized and visually appealing.
- Review sales, inventory levels, product performance, and purchasing needs with assigned employees.
- Ensure employees follow established gift shop transaction, discount, return, inventory, and customer-service procedures.
- Bring significant purchasing recommendations, concerns, and opportunities to the Executive Director for review.
- Ensure gift shop policies, financial controls, and operational procedures are consistently followed.
Financial and Recordkeeping Responsibilities
- Oversee daily financial reconciliation and ensure established cash-handling and reconciliation procedures are followed.
- Review and submit accurate employee information for biweekly payroll.
- Maintain operational, personnel, and payroll records.
- Review museum credit card and bank statements and ensure purchases are supported by complete and accurate receipts.
- Follow up with employees to collect missing receipts or clarify purchases.
- Maintain organized physical and digital copies of receipts and supporting financial records for long-term storage.
- Work with the Executive Director and the museum’s accounting professionals to resolve payroll, reconciliation, and recordkeeping questions.
Policies, Procedures, and Employee Records
- Work with the Executive Director to maintain the employee handbook, museum policies, operational procedures, and internal manuals.
- Research and collect examples, recommendations, and practical ideas that may support updates to policies and procedures.
- Help draft and organize proposed revisions for review and approval by the Executive Director.
- Maintain current and accessible copies of approved policies, procedures, forms, and operational documents.
- Communicate approved policy and procedural updates to employees.
- Ensure employees understand and consistently follow established museum policies and procedures.
- Maintain accurate and confidential employee records.
Communications and Administrative Systems
- Manage incoming museum phone calls, emails, voicemails, and general communications.
- Respond to routine guest questions and operational inquiries in a timely and professional manner.
- Direct messages and requests to the appropriate employee when specialized knowledge or additional attention is required.
- Monitor shared communication and scheduling systems, including email, voicemail, Microsoft Teams, and Google Calendar.
- Ensure important messages, scheduling changes, and operational information are documented and communicated to the appropriate employees.
- Maintain organized communication records and follow up on unresolved requests.
- Help ensure internal and external communications remain timely, clear, and professional.
Required Qualifications
Successful candidates should demonstrate:
- A high school diploma or equivalent.
- Strong leadership, interpersonal, and team-management skills.
- Previous experience supervising employees, coordinating schedules, or leading daily operations.
- Excellent organizational, time-management, and recordkeeping abilities.
- The ability to prioritize responsibilities and adapt in a fast-paced environment.
- Clear and professional written and verbal communication.
- Sound judgment when handling employee, guest, volunteer, and operational concerns.
- Strong customer-service and conflict-resolution skills.
- The ability to maintain confidentiality when working with personnel, payroll, and financial records.
- Comfort using Microsoft Office, POS systems, email, calendars, and shared digital systems.
- The ability to remain active throughout the workday and lift up to 30 pounds.
- The ability to successfully complete a background check.
Preferred Qualifications
- A bachelor’s degree in business administration, nonprofit management, hospitality, education, human resources, or a related field.
- Experience in management, operations, hospitality, retail, education, nonprofit work, museums, recreation, or another guest-focused environment.
- Experience with payroll information, employee records, financial reconciliation, cash handling, or receipt management.
- Experience coordinating volunteers, events, educational activities, or community programs.
- Experience maintaining workplace policies, procedures, manuals, or employee documentation.
A museum or nonprofit background is helpful but not required. We are most interested in candidates who can lead people well, remain organized, solve problems, and support the museum’s mission.
Candidates with a relevant bachelor’s degree or substantial directly related management experience may be considered toward the upper end of the compensation range.
Schedule
- Full-time position, generally 40 hours per week.
- The Operations Manager’s schedule will be based on the museum’s operational and staffing needs.
- Some evening and weekend availability is required for programs, rentals, meetings, and special events.
- Occasional schedule flexibility may be necessary.
