Job Summary

We are seeking an energetic and detail-oriented Front Desk Clerk to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions.

Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly first impression.
Answer multi-line phone systems promptly and courteously, directing calls efficiently.
Manage appointment scheduling and calendar management using productivity software and Google Workspace tools.
Perform data entry tasks accurately, maintaining organized filing systems both digitally and physically.
Handle clerical duties such as proofreading documents, filing records, and managing correspondence.
Support office management activities including supply inventory, basic bookkeeping with QuickBooks, and document preparation.
Provide customer support by addressing inquiries, offering information about services, and assisting with special requests.
Maintain high standards of phone etiquette and professionalism in all interactions to ensure excellent customer service.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Experience with data entry, filing systems, bookkeeping (preferably QuickBooks), and productivity software.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Strong communication skills; bilingual abilities are a plus to serve diverse clientele.
Previous experience as a front desk or medical/dental receptionist is highly desirable.
Knowledge of phone etiquette, office procedures, and technical proficiency in office equipment such as multi-line phones.
Ability to manage time efficiently while maintaining attention to detail in proofreading and document accuracy.
