NATURE OF WORK
Performs varied confidential secretarial, clerical, and related tasks that support the operation, duties and assignments of a judge, commissioner and/or other judicial officer.
(Illustrative Only) Performs a wide variety of complex and confidential secretarial, clerical and related office support tasks; handles, coordinates and modifies personal schedule and court calendar/schedule of cases for a judge, commissioner or other judicial officer; handles sensitive and delicate situations; maintains a variety of records requiring classification and compilation of varied information; reviews and monitors case files, filings and related documents to determine compliance with relevant and appropriate statutes, rules, administrative orders and/or other governing policies and procedures; opens and review all incoming mail or correspondence; answers inquiries and composes correspondence on own initiative on general and technical matters in accordance with established guidelines and forwards other items to supervisor; prepares a variety of documents in support of office operations and/or case related needs; maintains various records and files on office activities pertaining to travel expenses, contracts, billings, equipment, and/or related activities; responds to requests for information and assistance from the public, news media, attorneys and/or interested parties; interprets, implements and/or participates in the review, development and/or modifications to policies and procedures; coordinates the flow of paperwork including periodic and special reports; maintains/oversees administrative files; reviews incoming correspondence; drafts responses on matters for which authority has been delegated; assembles, researches, and summarizes information from various resources; compiles or verifies data to prepare special or recurring report unique to assigned function; prepares periodic reports and submit with recommendations or analyses; schedules and coordinates appointment calendars; composes and types directives, bulletins, schedules, and agendas; makes travel arrangements; coordinates internally and externally the updating and distributing the court’s scheduling calendar; serves in court, as assigned, as bailiff, having all duties and responsibilities assigned by law and local policies and procedures to the bailiff function; coordinates bailiff and court reporter resources; demonstrates continuous effort to improve management of the court that includes streamlining work processes, increase responsiveness, efficient use of judicial resources, and quality service; facilitates all information management aspects related to the operation of assigned division; abides by the Code of Conduct for Judicial Employees; performs related duties as required or assigned.
High school diploma or GED; AND four years of progressively responsible secretarial, clerical, or high-level office support experience aiding an administrative officer in an office, technical or administrative environment or closely related area; OR any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
ADDITIONAL REQUIREMENTS: This classification requires the applicant to pass criminal background checks; a valid Arizona State Driver’s License may be required; Arizona Committee on Judicial Education and Training (COJET) yearly accreditation is required.
DIFFERENTIAL PAY: Judicial Assistants who are assigned to a Presiding Judge shall be compensated a 5% pay differential for administrative duties related to the Presiding Judge’s assignment; examples of these tasks are working with the caseflow unit on assignment matters, serving as a liaison to the other Judicial Assistants, responding to matters related to the Arizona Administrative Office of the Courts; once the assignment to a Presiding Judge ends, the incumbent’s pay will be reduced by the same amount as it was increased.
Knowledge of: Applicable State of Arizona statutes, rules, administrative orders, operational policies and procedures, Federal rules, and requirements.; Yuma County and Superior Court policies and procedures; Superior Court in Yuma County- Rules of the Judicial Merit System and the Code of Conduct for Judicial Employees; legal terminology and court processes and procedures; basic principles and practices of caseflow management, records management, automation, office management, jury management, and intergovernmental relations; modern office practices, procedures, and equipment.
Skills in: Interacting with people of different social, economic, and ethnic backgrounds; working under pressure in a dynamic work environment with changing demands and priorities; establishing and maintaining cooperative working relationships with court employees, other court and non-court related agencies and representatives, and the public; communicating effectively and producing and finalizing reports for public dissemination; organizing and coordinating the efforts of court personnel to accomplish court system and office goals and objectives; interpersonal skills that support working with a diverse group of individuals that include judges, court staff, litigants, attorneys, and the general public; working under pressures handling significant problems and tasks that come up simultaneously and/or unexpectedly; operating a personal computer utilizing a variety of software applications.
Ability to: Establish and maintain effective working relationships with judges, elected officials, staff, other agencies, and the general public; follow written and oral instructions; communicate effectively both orally and in writing
PHYSICAL DEMANDS AND WORKING ENVIRONMENT: Work is performed in a standard office environment and Court facilities.
