Full Job Description

General Description

This is a full-time position within our Grosvenor Land Operations Division. The Associate supports the team and is responsible for the following tasks and shall be knowledgeable and proficient in these tasks.

1. Support Grosvenor Team/Management by maintaining project schedules, reports and following up/reminding key parties for upcoming deadlines for submissions, starts, milestones and completions.

a. Shall assist with the preparation and management of annual budgets.

b. Assembles forms, data, and reports for regular department meetings.

c. Maintains current cost tracking methods in Marks to analyze Project Status.

d. Works with supervisor to assemble calendars for projects.

2. Support Grosvenor Team/Management as needed to submit RFQs /Bids / Estimates/ Plans/ Permits as needed to keep projects on schedule.

a. Assembles bid packages for prospective work including tracking pre-bid conferences, bid dates, etc.

b. Assists with assembling documentation for entitlement/permit applications.

c. Timely submittal of documentation including shop drawings and certifications.

d. Delivery and collection of documents as needed.

3. Support for the Land Acquisition and Entitlement Function:

a. Ensures contracts are properly filed.

b. Keeps and updates spreadsheet tracking Due Diligence Dates, Closing Dates, Escrow Funds and due dates for work from engineers, surveyors and planning/permitting authorities.

c. Keeps Starts and Permitting Coordinator informed about lot availability numbers, dates locations and lot prices for Ascot and other Grosvenor Clients.

d. Follows up with various parties to remind them of the delivery dates for documents, approvals and finished lots.

e. Participates in Land Development Management Meetings to share updates and keep meeting minutes.

4. Assist with proper accounting of the business activities.

a. Daily field reports for time and materials.

b. Maintains vendor files and correspondence as well as invoices, subcontract agreements, purchase orders, and labor cost reports.

c. Accurately and promptly notifies Accounts Payable regarding new vendors, contracts for payables and receivables.

d. Files copies of invoices and backs up data for the project files and client billings.

e. Assist with collections as needed.

5. Ensures projects files are complete prior to start of new projects, that they are updated as the projects develop and are completed.

a. Files, matches, and processes vendor invoices, purchase orders, and internal billings for review.

b. Maintains a comprehensive and orderly project file system. Ensures the team adheres to the filing process. Filing of documents, receipts, and plans on behalf of Project Team.

c. Assembles meeting minutes for operational meetings.

6. Ensures Grosvenor Team/Management obtain weekly updates on competitive undertakings in Grosvenor’s operating geography.

a. Maintains a current database and map of prospective projects pursued by other developers in Ascot’s operating area (Moore/Hoke/Harnett/Cumberland/Lee Counties).

7. Assist with equipment management and maintenance.

a. Shall keep a log of all company equipment in use by Grosvenor and shall log its maintenance intervals and logs.

b. Shall prepare an equipment replacement plan and budget.

8. Other duties as required:

a. Including miscellaneous copying, typing, and binding of projects.

b. Assistance with ensuring Grosvenor Office equipment is operational and supplied with paper/ink.

c. Ensure office space is kept clean and tidy.

d. Support front office or other Grosvenor or Ascot absences as required and cross train in other areas for that purpose.

9. Analysis and Systems

a. Creates analytical processes and systems to track schedules, time-on-the job, performance vs budgets and Proforma Financials.

b. Provides regular reports to Accounting, Management and Team members as determined by management with the purpose of ensuring proper schedule management, good accounting of materials and labor costs and a clear view of the economics of operations and costs controls.
