Job Summary

Position: Hotel Bookkeeper / PMS & Merchant Batch Reconciliation Specialist/Payroll
Industry: Hotel & Hospitality
Employment Type: Full-Time
Location: Abilene, Texas
Schedule: Monday–Friday, with flexibility as needed

ABOUT THE POSITION

We are seeking a detail-oriented, experienced Hotel QuickBooks Bookkeeper to join our hotel management team. This position is responsible for maintaining accurate financial records, reconciling daily hotel transactions, and ensuring that PMS system reports, credit card merchant batches, bank deposits, and QuickBooks records are properly matched and balanced.

The ideal candidate has hands-on hotel accounting experience and understands how hotel PMS systems, credit card processing, OTA payments, daily revenue reports, and QuickBooks work together.

KEY RESPONSIBILITIES

QuickBooks & Bookkeeping

Maintain accurate hotel financial records in QuickBooks.
Record daily income, expenses, payments, deposits, and adjustments.
Reconcile bank accounts and credit card accounts.
Review Accounts Payable and Accounts Receivable transactions.
Assist with monthly financial closing and reporting.
Maintain organized documentation for all financial transactions.
Identify and correct bookkeeping discrepancies.

PMS & Merchant Batch Reconciliation

Reconcile daily PMS batches against credit card merchant batches.
Compare PMS payment totals with merchant processor settlement totals.
Verify Visa, Mastercard, American Express, Discover, debit, and other payment transactions.
Investigate discrepancies between PMS reports, merchant batches, deposits, and bank activity.
Verify that all daily credit card batches have been closed and processed correctly.
Research missing, duplicate, reversed, declined, or incorrectly posted transactions.
Verify adjustments, refunds, chargebacks, and payment corrections.
Track unresolved discrepancies until they are fully corrected.

Hotel Revenue & OTA Reconciliation

Reconcile daily room revenue and other hotel revenue.
Review Booking.com, Expedia, and other OTA virtual card transactions.
Verify virtual card payments are properly charged and posted in the PMS.
Reconcile OTA deposits and commissions.
Review direct billing, city ledger, and other payment accounts.
Compare daily revenue reports with accounting records.

DAILY RECONCILIATION REQUIREMENTS

The successful candidate will be responsible for ensuring:

PMS Batch = Merchant Batch = Accounting Records
All credit card transactions are properly posted.
All merchant settlements are accounted for.
Bank deposits match expected deposits.
Refunds and adjustments are properly documented.
Chargebacks are tracked and researched.
OTA virtual cards are processed and reconciled.
Any discrepancies are documented and reported to management.

QUALIFICATIONS

Previous hotel accounting or bookkeeping experience preferred.
Strong QuickBooks experience required.
Experience with hotel PMS systems strongly preferred.
Experience reconciling credit card merchant batches.
Understanding of hotel daily revenue and night audit reports.
Strong Excel and computer skills.
Excellent attention to detail.
Strong organizational and analytical skills.
Ability to identify financial discrepancies and resolve them.
Ability to maintain confidential financial information.
Must be dependable, professional, and able to meet deadlines.

IDEAL CANDIDATE

We are looking for someone who is numbers-driven, organized, honest, and extremely detail-oriented. The right person will not simply enter numbers—they will actively compare reports, investigate differences, identify errors, and make sure the hotel's financial records are accurate.

Hotel accounting experience is a major advantage. Experience with QuickBooks, hotel PMS systems, credit card processors, OTA virtual cards, and daily hotel reconciliation is highly preferred.
