Accounting and Payroll / HR Manager:

We are seeking an experienced, detail-oriented Accounting and HR Manager to join our team and play a central role in our financial operations. The ideal candidate brings strong expertise in QuickBooks, ConnectWise, and Excel; a solid grasp of accounting principles; and the organizational skills to support financial oversight, HR-related financial functions, compliance, and tax coordination — all while maintaining a high standard of professionalism and customer service.

POSITION SUMMARY
This person maintains accurate, timely financial records and provides broad financial support across multiple functions: accounts payable and receivable, payroll and financial oversight and reporting and HR-related financial administration (including employee benefits), compliance and audit readiness, and tax preparation coordination. This role also includes professional communication with customers and vendors regarding billing matters, including following up on outstanding invoices with tact and persistence. A thorough background check is required.
KEY RESPONSIBILITIES
1. Financial Oversight & Control
- Maintain the general ledger and ensure accuracy across all financial accounts
- Perform daily, weekly, and monthly account reconciliations — bank, credit card, and vendor
- Prepare and distribute daily financial reports and summaries to management
- Monitor cash flow, flag variances, and provide timely financial snapshots for leadership
- Support month-end and year-end close processes, including journal entries and adjustments
- Maintain organized and audit-ready financial documentation at all times
2. Accounts Payable & Receivable
- Process and record incoming and outgoing invoices with accuracy and timeliness
- Manage vendor payments, ensuring proper coding, approvals, and payment scheduling
- Track and reconcile accounts receivable aging; follow up professionally on outstanding balances
- Contact customers regarding overdue invoices by phone and email — courteously and effectively
- Post customer payments and maintain up-to-date records in QuickBooks and ConnectWise
- Resolve billing discrepancies in coordination with internal teams and customers
3. HR-Related Financial Functions & Employee Benefits & Payroll
- Administer and reconcile employee benefits billing, including health, dental, vision, and supplemental plans
- Process bi-monthly payroll
- Coordinate with HR and benefits providers to ensure accurate deductions and timely payments
- Track and process payroll-related journal entries and liabilities in QuickBooks
- Maintain records for PTO accruals, garnishments, and other employee financial obligations
- Assist with onboarding and offboarding financial paperwork as needed
- Ensure benefits-related financial records are accurate, current, and audit-ready
4. Compliance & Audit Readiness
- Maintain financial records in full compliance with applicable laws, regulations, and company policy
- Organize and retain supporting documentation for all transactions in preparation for internal and external audits
- Identify and escalate discrepancies or control gaps to management promptly
- Assist with audit requests by compiling requested records, reports, and reconciliations
- Keep up-to-date with bookkeeping regulations and best practices relevant to the business
5. Tax Coordination & CPA Support
- Compile and organize all financial data required for sales tax, federal income tax, and franchise tax filings
- Prepare supporting schedules, reconciliations, and documentation packages for submission to the CPA
- Coordinate deadlines with the CPA to ensure timely filing of all tax returns
- Maintain records for taxable and exempt transactions, ensuring accurate sales tax tracking throughout the year
- Respond to CPA and tax authority inquiries with organized, readily accessible documentation
- Track estimated tax payment schedules and alert management of upcoming obligations
6. Financial Systems & Reporting
- Manage financial records in QuickBooks (Desktop and/or Online) as the primary accounting system
- Utilize ConnectWise to track service-related financials and reconcile with QuickBooks
- Build and maintain Excel spreadsheets for tracking accounts, payroll data, benefits costs, and tax schedules
- Generate customized financial reports and ad hoc analysis as requested by leadership
7. Customer & Vendor Communication
- Serve as a professional, responsive point of contact for customers and vendors on financial matters
- Communicate with professionalism, care, and clarity — especially on sensitive billing topics
- Respond promptly to inquiries via phone and email; maintain a polished and courteous manner
REQUIRED QUALIFICATIONS
- Minimum 4+ years of bookkeeping or full-charge accounting experience
- Proficient in QuickBooks (Desktop and/or Online); certification a plus
- Experience with ConnectWise or a similar service management / PSA platform
- Advanced proficiency in Microsoft Excel (formulas, pivot tables, financial reporting)
- Solid understanding of accounts payable, accounts receivable, and general ledger principles
- Experience coordinating tax-related financial records (sales tax, federal, franchise) with a CPA
- Familiarity with employee benefits administration and payroll-related bookkeeping
- Strong knowledge of compliance requirements and audit-ready recordkeeping practices
- Excellent verbal and written communication skills — professional and composed under pressure
- Highly organized, detail-oriented, and able to manage multiple priorities and deadlines
- Quick to respond, reliable, and consistent in follow-through
- Professional appearance and conduct at all times
- Must successfully pass a thorough background check prior to hire
PREFERRED QUALIFICATIONS
- Associate's or Bachelor's degree in Accounting, Finance, or a related field
- QuickBooks ProAdvisor certification preferred
- Experience in a service-based or technology company environment
- Familiarity with benefits carrier portals and benefits reconciliation processes
- Prior experience supporting a CPA or external accountant through tax season
