Full Job Description

Position Overview:

All Kind seeks a highly motivated self-starter with strong time management, organizational, and problem-solving skills with the ability to work independently in a fast-paced environment, balance multiple projects, and meet deadlines. As well as a dedicated and mission-driven individual to drive our mission of improving the lives of animals in our community by providing lifesaving shelter operations, spay and neuter services, and vaccine resources. As an employee at All Kind, you’ll play a pivotal role in achieving our organization’s mission, core values and goals. In this role, you will provide essential oversight of the daily administration of the organization, including expense reporting and coding, ordering, and bill pay, as well as coordination with vendors and partnering businesses. This position functions primarily out of our Shelter at 610 ES 11th Street, Abilene. TX 79602.

This is a part-time position. Schedule will likely be 9 am to 3pm, Monday through Friday

Administrative Responsibilities:

Develop and implement strategic processes to improve efficiency in the administrative department.
Develops paper and electronic filing systems and maintains files.
Provides confidential administrative support to the Executive Director including the processing of sensitive information, documents, and correspondence.
Ensure accurate and timely expense and deposit coding in QuickBooks.
Assists with the annual audit.
Assists with the preparation of reports and compiling data.
Coordinate with partnering veterinary clinics, local businesses and vendors regarding invoicing, timely bill pay, and organizational needs.
Monitors and coordinates purchasing needs of supervisors, as requested.
Work closely with area managers, COO and ED to ensure proper and timely incident reporting to Allied.
Reconcile monthly expenses.
Reconcile cash drawers for daily use.
Assist with In-Kind donation reporting and management.
Perform other job duties and responsibilities as assigned.

Qualifications:

Knowledge/Skills/Abilities: Ability to maintain confidentiality. Strong word processing skills required and strong spreadsheet skills (Excel) are essential.
Experience: Two years' experience with complex office responsibilities.
Proficient in Quickbooks.
A passion for and a deep commitment to All Kind’s mission, animal welfare and for helping community members.
A high school diploma or a GED is required.
A valid Texas driver’s license is required. Maintaining a satisfactory driving record is an ongoing condition of employment.
Proficient with common computer software, experience with ShelterLuv a plus.

Work Environment and Physical Qualifications:

Possible exposure to zoonotic diseases, bites, scratches, loud noises, animal waste, kennel cleaners and disinfectants, animal bedding, and dishes. Allergic conditions which would be aggravated when handling or working near/with felines may be a disqualification.
Exposure to animal noise, unpleasant odors, cold, heat, outdoors, vibration and chemicals.
Walking and/or standing for extended periods of time, often on wet surfaces. Ability to work in a bent over or squatting position.

Compensation and Benefits:This position starts at $22/hr. This is a part time position.

Reporting Relationships: This position directly reports to the Executive Director and works closely with Executive Assistant, COO and area managers.

Pay: From $22.00 per hour
