Position: Patient Experience Coordinator & HR Specialist

Company: Absolute Recovery Solutions (AARS)

Location: Abilene, Texas

Job Type: Full-time

Pay: Dependent on experience

Shift & Schedule: Monday – Friday, 5:30 AM – 1:30 PM (Occasional Saturdays or after-hours coverage required)

Core Role & Responsibilities:Position Overview

This dual-impact role combines front-desk patient welcoming with vital administrative, HR, and community outreach support. As the face of AARS, you set the tone for every person stepping through our doors—discreetly monitoring patient stressors while creating a safe, welcoming atmosphere. Behind the scenes, you keep our office organized, manage HR compliance, assist with billing, and drive our community events.

Key Responsibilities

Front Desk & Patient Experience

Consistency and timeliness is a key factor for this position.
Warmly greet patients and visitors as the primary face and voice of AARS.
Maintain a calm, steady presence while effectively managing diverse moods, attitudes, and stressful situations.
Observe and note visible patient stressors or immediate needs to coordinate seamlessly with clinical staff.
Collect patient payments, verify insurance details, and assist with billing workflows.
Manage office inventory, supply levels, and overall lobby presentation.

HR & Administrative Operations

Manage employee onboarding packets, policy acknowledgments, training schedules, corrective-action documents, and annual review tracking. [small office]
Maintain confidential employee files, HR records, compliance folders, and status updates (availability, attendance concerns, call-outs).
Assist with payroll preparation or tax records by coordinating with CPA and CEO and resolving missing or incorrect information.
Draft, proofread, and send company-wide announcements, policy updates, meeting notes, and routine communications.
Maintain administrative task checklists and track actionable follow-ups.

Events, Social Media & Community Outreach

Support the planning and execution of educational workshops, donor initiatives, and community fundraising events.
Assist in setting up online giving campaigns, coordinating corporate/community volunteers, and managing event logistics.
Post daily engaging content across social media accounts, newsletters, etc.
