Job Description

We are seeking a friendly, hard working and personable administrative assistant to provide a wide variety of clerical and team support services to clients under supervision. In the Office , you will follow established procedures to perform standard tasks and resolve most questions and problems. You will also maintain routine contact with clients and other team members to obtain, serve, clarify and provide facts and information as you project a professional image.

Additional tasks of the administrative assistant include:

Greeting clients and welcoming them into the office.

Providing office support including answering telephones, processing transferring paperwork, opening accounts, scanning, filing, and resolving problems or inquiries, printing prospectuses and writing thank you notes.

Scheduling and coordinating meetings, events, and appointments.

Preparing reports for client meetings, setting up folders/binders.

Maintaining and ordering office supplies.

Clerical tasks and data entry

Transcribing and documenting notes in CRM.

Establishing, maintaining and updating files, databases, records and compliance documents.

Job Responsibilities

In the Office, you will coordinate and perform a range of team and operational support activities all to serve and support our clients.

Job Requirements

In the Office you must possess a professional and service-oriented demeanor with pleasant and business appropriate phone manners. You must be able to multi task in a busy work environment with changing priorities all by paying attention to details. Our ideal Client Service Associate works ethically and with integrity, maintains client and firm confidentiality and upholds a professional image with clients and the rest of the team. You much have excellent verbal communication and organization skills to prioritize and complete work efficiently. You must also have effective problem-solving skills to resolve routine client questions.

Additional requirements for the position:

Minimum 5-7 year Financial Services.

Proficiency with Microsoft Office Suite to produce professional documents and document client interactions.
