Full Job Description

Billing & Staff Accountant

Located in Ada, OK or Oklahoma City, OK

About the Role

We are seeking a detail-oriented Billing & Staff Accountant to manage our billing operations and support our broader accounting functions. In this role, you will create invoices and credit memos, process incoming payments, and monitor the billing process for accuracy, while also handling general accounting work such as accounts payable, journal entries, account reconciliations, and month-end close. The ideal candidate has experience in both billing procedures and general accounting, strong organizational skills, sound mathematical ability, and the capacity to meet deadlines. Ultimately, you will help us achieve our financial goals by keeping our records accurate and our clients invoiced on time.

Responsibilities

Prepare, issue, and mail invoices, credit memos, and bills to customers
Process incoming payments and record them accurately in the company's accounting software
Manage account balances to identify outstanding debts and inconsistencies
Update the accounts receivable database with new accounts and missed payments
Maintain and update customer records, including issuing monthly statements
Track outstanding debts and take appropriate action to encourage timely payment
Send payment reminders to clients regarding outstanding accounts
Verify the accuracy of billing data and correct any errors or discrepancies
Reconcile billing accounts against the accounts receivable ledger to ensure payments are properly posted
Review purchase orders and shipments to ensure billing accuracy
Resolve billing issues and respond to customer complaints and questions
Collaborate with the sales and customer service teams to process payments and resolve discrepancies
Prepare and present regular reports on billing activity and accounts receivable status
Ensure compliance with company policies and procedures related to billing

General Accounting Responsibilities

Record and post journal entries to the general ledger and maintain accurate financial records
Process accounts payable, including verifying, coding, and entering vendor invoices for payment
Perform monthly bank and account reconciliations and research any discrepancies
Assist with month-end and year-end close processes, including accruals and adjusting entries
Maintain and reconcile general ledger accounts, including prepaid expenses and fixed assets
Prepare and analyze financial statements and supporting schedules
Assist with budgeting, forecasting, and variance analysis
Support payroll processing and related record-keeping as needed
Help prepare documentation and schedules for internal and external audits
Assist in the preparation and filing of sales tax, VAT, and other regulatory filings
Maintain organized financial files and ensure compliance with accounting policies and internal controls
Provide general accounting support and complete ad-hoc projects and analyses as assigned

Requirements and Qualifications

2+ years of experience in billing and/or general accounting
Proficiency in accounting principles, fair credit practices, and collection regulations
Knowledge of USAC and OUSF e-rate program for schools, libraries and rural health care
Proven ability to manage accounting figures and maintain financial records
Strong data entry skills and a knack for numbers
Hands-on experience with accounting and spreadsheet software (Excel experience required)
Proficiency in MS Office
Knowledge of VAT regulations and sales tax
Familiarity with finance and accounting operations
Working knowledge of full-cycle accounting, including accounts payable, general ledger, and reconciliations
Experience assisting with month-end and year-end close processes
Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred
Attention to detail and a high degree of accuracy
Negotiation skills and a customer service orientation
Ability to communicate information effectively in both group and individual settings
Ability to work well with others in a collaborative environment

Pay: $55,000.00 - $70,000.00 per year
