Summary:

The Office Manager is responsible for overseeing daily office operations while providing direct administrative support to the CEO. This role ensures smooth office workflow, HR and Benefits support, while also managing executive-level tasks such as calendar coordination, meeting preparation, and project support.

Key Responsibilities:

· Oversee daily office operations workflow, including phones, emails, and records management.

· Monitor office supplies, vendor relationships, and equipment needs.

· Ensure agency compliance with state, federal, and payer regulations.

· Maintain HIPAA compliance in all communications.

Executive Support:

Manage executive calendars, schedule appointments, and coordinate meetings.
Prepare agendas, meeting materials, and follow-up notes for leadership.
Draft correspondence, reports, and presentations on behalf of executives.
Serve as the liaison between leadership, staff, clients, and external partners.
Support special projects, audits, and strategic initiatives as assigned.
Handle confidential information with discretion and professionalism.

Qualifications:

Proven experience as an Office Manager, Executive Assistant, or similar role; healthcare or home health agency experience strongly preferred.
Strong organizational, scheduling, and compliance management skills.
Proficient with Microsoft Office Suite; experience with healthcare scheduling/billing software (AxisCare, WellSky, or similar) preferred.
Excellent communication and interpersonal skills; able to interact professionally with clients, caregivers, and executives.
Strong ability to multitask, prioritize, and solve problems in a fast-paced environment.
High attention to detail with the ability to manage both day-to-day operations and executive-level tasks.
Skilled at documenting tasks and ensuring proper follow-up at both an executive and personal level in a fast-paced environment.
Experienced in training in a small group setting.
Capable of Manage benefit enrollment and HR functions.
Other tasks as assigned.

Education & Experience:

Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred.
Minimum 3–5 years of administrative, office management, or executive support experience.
Comfortable with change.

Work Environment:

High-growth team-oriented home health agency where roles overlap and adaptability is essential.
Full-time position; flexibility required for urgent scheduling and executive needs.

Pay: $50,000.00 - $60,000.00 per month
