Job Summary

We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions through efficient administrative support. Your energetic approach and organizational prowess will help maintain a productive environment, support client and team communication, and manage essential clerical tasks. This paid position offers an exciting opportunity to develop your office management skills while contributing to a collaborative workplace.

Responsibilities

Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy.
Handle front desk duties, greeting visitors, managing appointments, and maintaining a welcoming environment.
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace.
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents.
Assist with bookkeeping activities, including invoicing, expense tracking, and basic financial record keeping using QuickBooks.
Support calendar management for team members, scheduling meetings, appointments, and reminders efficiently.
Provide exceptional customer service by responding to client inquiries via phone or email and offering support as needed.
Proofread documents for accuracy, clarity, and professionalism while ensuring adherence to company standards.
Manage office supplies inventory, place orders when necessary, and oversee general office management duties to keep the workspace organized and functional.

Qualifications

Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and familiarity with productivity software.
Experience with data entry, filing systems, and basic bookkeeping using QuickBooks or similar software.
Excellent phone etiquette with experience managing multi-line phone systems; bilingual skills are a plus for effective client communication.
Strong computer literacy including technical proficiency in office management tools and general computer skills.
Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Previous experience in customer service or front desk roles is highly desirable;
Ability to handle multiple responsibilities simultaneously while maintaining professionalism and efficiency.
Good proofreading skills with attention to detail in written communication.
Process expense reports, issue invoices, accounts receivable, accounts payable, and assist with basic bookkeeping. work closely with accountant, Manage Payroll, Employee Health Insurance.
Company Documents: Suri, Workman's Comp., SINOT Government Permits etc.
