Full Job Description

REMAX Fine Properties is looking for a positive, organized, tech-savvy, and service-minded Office Administrator to join our Scottsdale office.

This role is the backbone of our office- You’ll be the welcoming presence that our agents and guests first see when they walk through the door, and provide vital support by managing key administrative and operational tasks behind the scenes. This position supports file compliance, marketing coordination, and general office systems, ensuring the admin team runs smoothly and our agents stay well-supported.

Compensation:

$20 - $22 hourly

Responsibilities:

· Greet agents, clients, and visitors with positivity to make them feel welcome

· Administrative Support: Perform unlicensed administrative tasks to assist agents and the leadership team

· File and Compliance Review: Review transaction checklists and files to ensure compliance and timely processing

· Maintain accurate records, update databases, and input information into various systems

· Agent Support: Provide exceptional assistance to agents, answering questions, troubleshooting issues, and coordinating with the rest of the Fine Properties team to ensure their needs are met

· General Office Tasks: Manage office supplies, answer phones, handle mail, and maintain a welcoming and professional office environment

· Coordinate and organize company events, meetings, and celebrations

· Social Media Management: Assist with posting and scheduling content for social media platforms to enhance company visibility and engagement

· Support onboarding for new agents and staff, including system access and office orientation

· Maintain written and video training guides and tutorials

· Help manage social media content and internal communication posts

· Provide daily operational support to the admin staff and coordinate office projects

Qualifications:

· Excellent verbal and written communication

· Must have high school diploma or GED

· Understands how to utilize a basic database for processing client information

· Previous administrative and/or customer service experience

· Strong attention to detail and organizational skills

· Proficiency in Microsoft Office Suite, Google Workspace, and/or other office tools

· Experience with social media platforms and basic content creation is a plus

· Ability to work both independently and collaboratively within a team

· Familiarity with real estate processes and compliance is a significant advantage but not required

· Proactive and resourceful when solving challenges

· Personable, positive, professional, and committed to providing great service

· Able to multitask effectively when needed

Bonus Points If You Have:

· Real estate office or transaction coordination experience

· Familiarity with systems like Skyslope, Dotloop, BrokerMint, BoldTrail, Adobe Suite, or Canva

· Strong writing, editing, or process documentation skills

· Effective bilingual capability in English and Spanish
