Job Overview

We are seeking a professional, organized, dependable, and dynamic Legal Assistant/Receptionist to join our busy law office. This position provides essential administrative, clerical, and client-support services while assisting attorneys and staff with the day-to-day operations of the office.

The ideal candidate is detail-oriented, energized by multitasking, and committed to delivering professional and courteous client support. Strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment are essential. Confidentiality, accuracy, reliability, and professionalism are expected at all times.

Key Responsibilities:

Answer and efficiently manage a multi-line telephone system.
Greet clients and visitors with courtesy and professionalism.
Schedule appointments and maintain attorney calendars, deadlines, and important dates.
Perform accurate digital transcription using Dictaphone equipment.
Draft, format, and prepare legal documents, correspondence, forms, and other office materials.
Proofread documents for accuracy, grammar, spelling, and proper formatting.
File documents with courts and government agencies through AlaCourt and AlaFile.
Organize and maintain accurate electronic and physical client files.
Communicate with clients regarding appointments and general case updates as directed by attorneys.
Provide administrative and clerical support to attorneys and office staff.
Maintain a professional and organized office environment.
Handle confidential and sensitive client information with the highest level of discretion.
Perform other administrative duties as needed to support the efficient operation of the law office.

Qualifications & Skills:

High school diploma or equivalent preferred.
Prior legal office experience preferred.
Digital transcription and Dictaphone experience preferred.
Typing speed of approximately 60–75 words per minute with a high degree of accuracy.
Proficiency in Microsoft Word and Excel.
Familiarity with AlaCourt and AlaFile preferred.
Excellent verbal and written communication skills.
Strong proofreading and attention-to-detail abilities.
Excellent organizational and time-management skills.
Ability to prioritize multiple tasks and meet deadlines.
Professional appearance, demeanor, and telephone etiquette.
Ability to work independently while also functioning effectively as part of a team.
Demonstrated ability to handle confidential information appropriately.
