Title: Clerk - Central Office

Supervisor: Superintendent or designee

JOB GOALS: The Clerk Central Office provides the most efficient services to support the educational objectives of AIMS K12 and provides general support to central office staff. Provides administrative support for the AIMS central office and the Board of Education. The clerk organizes and performs administrative work of a high level with minimal supervision. The central office clerk plays an integral role in the daily administrative operations and communications for the school district.

REPRESENTATIVE DUTIES: (Incumbents may perform any combination of the essential functions shown below.

ESSENTIAL JOB DUTIES:

Assists with the coordination of the local and state student accountability program.

Prioritize emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements
Maintains confidentiality in all aspects of the job.
Performs computer-based tasks including but not limited to maintaining and controlling student scheduling, grade reporting and local and state assessments.
Prepares various annual and periodical reports of District activities
Prepare requisitions and purchase orders for central office staff
Monitors contractual provisions. Sets up files and critical events and dates for internal, interim, and year-end reviews. Provides assistant with contract documents by adapting district-approved formats and facilitating content and approvals.
Reviews and prepares documents for entry of information into electronic data processing system. Follows up as necessary to complete documents. Enters and updates information into system according to standard formats. Extracts data from existing databases and converts to other formats.
Performs general clerical duties.
Communicates in an effective manner with staff, students, parents and/or visitors.
Processes mail, scans and uploads electronic documents.
Monitors all office equipment (mail machine, fax machine, photocopiers and printers).
Must maintain confidentiality with sensitive information.
Assist with compiling data for complete Federal, State, local, and district reporting.
Assist with providing information for Federal, State and local grants.
Prepares and sends mailings and packages.
Checks reports for consistency and accuracy.
Assists Finance with processing purchase orders
Performs other duties as assigned

KNOWLEDGE AND ABILITIES:

The ability to work with others and respond to public inquiries in a courteous manner.
Ability to meet the driving and transportation requirements.
Knowledge of relevant software applications including MS Office.
Proficient in use of email and internet.
Proficiency with basic number skills.
Accurate keyboard skills. 55 WPM.
Knowledge of office management systems and procedures.
Knowledge of administrative procedures.
Knowledge of basic accounting procedures.
Good written and verbal communication skills.
Flexible and efficient in high pressure situations.
Well organized and able to multitask projects and prioritize responsibilities.
