Job Overview

We are seeking a dynamic and organized Office Assistant/Front Desk professional to join our team! This energetic role is vital in creating a welcoming environment for clients and visitors while ensuring smooth office operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage front desk responsibilities, handle administrative tasks, and support office management to foster an efficient and friendly workplace atmosphere. This paid position offers an exciting opportunity to develop your administrative expertise in a vibrant setting.

Duties

Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with confidentiality and accuracy
Maintain organized filing systems, perform data entry, and proofread documents to ensure accuracy and clarity
Assist with calendar management and scheduling appointments for clients as needed
Perform general clerical duties such as photocopying, scanning, organizing documents, and maintaining office supplies

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Gmail) and computer literacy skills
Experience with data entry, filing systems, and handling confidential information securely
Excellent customer service skills with the ability to communicate clearly via phone and in person
Bilingual abilities are highly desirable to serve diverse client needs effectively but are not required
Previous experience in front desk or personal assistant roles is preferred
Strong time management skills with the ability to prioritize tasks efficiently
