Full Job Description

Closing date: August 14th, 5pm

I. Purpose of Job

The Executive Director of Children’s Garden Early Learning Center (CGELC) is the Head of School and is responsible for the overall administration and management of the school, overseeing business operations, implementing policies established by the Board of Directors and working with staff to create and sustain excellent early childhood education programming.

II. Essential Duties and Responsibilities

Hold general responsibility for the safety and well-being of all students
Create and maintain attractive school environment
Supervise the operation and maintenance of school facilities
Recommend changes or additions necessary to implement student programs or maintain desired standards of appearance and safety
Negotiate rental contract and terms
Communicate clearly and regularly with the board on all school activity
Maintain contact and close communication with the Board to assure there are “no surprises”
Serve as the chief liaison and communicator between the board and staff
Make policy recommendations to the board, but does not change them. Board will make the actual change to the policy.
Work in partnership with the board to support its full range of activities
Board packets will be sent out no less than a week before a scheduled meeting
Board meetings will be held on a designated monthly time schedule. Changes to the designated schedule can only be approved by the board.
Determine teaching and non-teaching positions needed to implement the school’s programs
Hire and supervise outstanding employees
Prepare employee contracts, job descriptions and enforce board approved employee handbook including monitoring the accuracy of sick time and paid time off in Gusto.
Evaluate performance of all employees annually
Responsible for dismissing employees when necessary and monitoring and addressing any potential unemployment claims. An exit questionnaire must be completed and sent to the board, a copy placed in their employee file and notes must be entered in their QuickBooks profile within a week of their employment ending with CGELC.
Maintain personnel files and worker’s compensation, state and federal tax requirements and all other required documentation.
Develop staffing structure that supports efficient delivery of programs
Attract and enrolls exceptional students and families
Recommend enrollment objectives and executes programs to achieve them
Maintain enrollment at optimum levels
Remain abreast of effective marketing techniques for private-independent schools and oversee the design and implementation of brochures, articles and flyers
Establish standards and procedures for student admissions and dismissals
Know each child by name
Demonstrate high expectations for each child’s ability to learn and grow
Design, implement and administer student programs in partnership with teachers
Set annual school calendar after getting it approved by board.
Establish standards of participation and achievement in academics, character development and social skills
Maintain a comprehensive set of records in accordance with the needs of the school, its constituents and the government
Develop and maintain a student billing system to track invoices, credits and payments for students as it relates to government or other program entities or individual families. (i.e. Excel or other tracking system).
Evaluate programming for improvements and continuous learning
Know each parent by name
Establish and maintain positive relationships with all parents
Encourage meaningful parent participation in the classroom and events
Enact an open-door policy for communicating with parents in person, by phone and via email
Conduct parent orientation and education programs in partnership with teachers
Develop annual calendar year budget and submit to the board for Final approval no later than November (submit preliminary budget by October).
Oversee and maintain approved budget
Monitor monthly profit and loss, balance sheets, cash flow, receivables and expenses
Present financials and budget monthly to the board for review and approval.
Remain abreast of variances and adjust appropriately to work toward achievement of financial goals (ending the year in the black).
Recommend tuition rates, employee salaries and benefits annually to the board for approval.
Ultimately financial duties must be completed on a daily basis or multiple times a week to ensure the knowledge regarding the status of the bottom line is clear. This allows for adjustments to take place in a manner to achieve the financial goal.
Ensure Form 990 is submitted in a timely manner annually (in-house or outsourced) per IRS guidelines.
Advise board on fundraising needs and plans
Propose realistic fundraising goals
Develop systematic, disciplined fundraising plan with board
Work with the board to coordinate fundraising efforts and get involved in cultivation and solicitation of major donors
Conduct funding research, write grants and submit proposals
Work with board to develop long-range, strategic plan
Develop operational plans with staff
Remain abreast of trends and research in early childhood education and school administration
Function as the chief spokesperson for the school
Promote effective communication—up and down
Develop systems for ensuring smooth day-to-day operations
Review and maintain insurance policies
Respond to legal and ethical issues
Promote excellence through professional development and community involvement
Build and maintain relationships with a variety of external stakeholders including regulatory agencies and other preschools

III. Qualifications and Competencies

Education

Bachelor’s degree in education or a related field preferred; relevant experience may be considered in lieu of formal education.
Advanced degree and early childhood education credentials are highly desirable.

Experience

Minimum of 3 years of experience in school administration, including 2 years in a supervisory role.
At least 1 year of experience in nonprofit or corporate management.

Knowledge and Skills

Strong background in early childhood education.
Director qualifications as required by the Colorado Department of Early Childhood.
Experience in nonprofit administration and management.
Fundraising experience.
Ability to build positive relationships and establish rapport with families and staff.
Excellent verbal and written communication skills.
Strong time management and public speaking abilities.
Proficiency in computer skills, with website development experience preferred.
