Front Desk Clinic Customer Service Representative / Administrative Assistant

Job Title: Front Desk Clinic Customer Service Representative / Administrative Assistant
Department: Operations / Patient Services
Reports To: Clinic Manager or Practice Administrator
Employment Type: Full-Time

Position Summary

The Front Desk Clinic Customer Service Representative / Administrative Assistant serves as the first point of contact for patients, visitors, and healthcare providers. This position is responsible for delivering exceptional customer service, managing front office operations, coordinating patient scheduling, maintaining accurate records, and providing administrative support to ensure the efficient operation of the clinic.

Essential Duties and ResponsibilitiesCustomer Service & Patient Relations

Greet patients, visitors, and vendors in a professional and friendly manner.
Answer and direct incoming phone calls promptly and courteously.
Respond to patient inquiries and provide accurate information regarding clinic services, appointments, and policies.
Resolve patient concerns and escalate issues when appropriate.
Maintain patient confidentiality in accordance with HIPAA and organizational policies.
provide education to patients on the use of Home Sleep Testing equipment.
Provide education on the use of Positive Airway Pressure Machines and complete pateint follow up on the use of the equipment.

Appointment Scheduling & Registration

Schedule, reschedule, and confirm patient appointments.
Register new patients and update existing patient demographic and insurance information.
Verify insurance eligibility and obtain necessary authorizations when applicable.
Check patients in and out efficiently while ensuring accurate documentation.

Administrative Support

Maintain patient records and electronic medical records (EMR) with accuracy.
Process incoming and outgoing correspondence, emails, faxes, and mail.
Prepare, scan, file, and organize documents as required.
Assist with data entry, reporting, and record management.
Monitor office supplies and coordinate replenishment as needed.

Office Operations

Ensure the reception area remains clean, organized, and welcoming.
Collect patient payments, issue receipts, and reconcile daily transactions.
Support clinic staff with administrative projects and special assignments.
Maintain compliance with clinic policies, procedures, and regulatory requirements.

Required Qualifications

High school diploma or GED required.
Minimum of one (1) year of customer service, administrative, medical office, or reception experience preferred.
Proficiency in Microsoft Office 365
Experience with Electronic Medical Records (EMR/EHR) systems preferred.
Strong interpersonal, verbal, and written communication skills.
Ability to multitask and work effectively in a fast-paced healthcare environment.

Excellent customer service and patient relations skills.
Strong organizational and time-management abilities.
Attention to detail and accuracy in documentation.
Ability to handle confidential information with discretion.
Professional appearance and demeanor.
Ability to work independently and as part of a team.

Physical Requirements

Ability to sit, stand, and walk for extended periods.
Frequent use of computers, telephones, and standard office equipment.
Ability to occasionally lift up to 20 pounds.

Working Conditions

Clinic and office environment.
Frequent interaction with patients, healthcare providers, and staff.
May require occasional flexibility in scheduling based on clinic needs.
