Responsibilities:
The HR Generalist plays a vital role in supporting all aspects of the Company's Human Resources benefits functions, including but not limited to, maintaining and processing all benefit plans and employee transactions, recruiting, interviewing, maintaining job descriptions, and compensation programs. This role will report to the Company CFO, and will provide support to all employees and managers. Maintains knowledge of legal requirements related to the day-to-day management of employees and ensures compliance with applicable state and federal laws.
The Human Resources Generalist is responsible for supporting the Company's HR, Recruiting, and Benefits functions as follows:
HUMAN RESOURCES RESPONSIBILITIES:
- Supporting the organization’s recruitment process, Interviewing and assisting in the selection of qualified candidates to fill approved positions. Attends Job Fairs or enrolls in Virtual Job Fairs.
- Coach managers on candidate interviewing and selection. Review employment applications and addendums to evaluate the qualifications or eligibility of applicants. Analyzes job requirements making recommendations for final selection.
- Complete reference checks - contact previous employers, and other references to
determine applicants’ employment acceptability.
- Responsible for preparing new hire packages and termination packages. Processes verifies, and maintains documentation relating to personnel activities such as staffing, new employee orientation, onboarding, recruitment, training, grievances, performance evaluations, and FLSA classifications.
- Maintains up-to-date records on the necessary and mandated training for new hires and current employees
- Plans Benefit Enrollment meetings upon new hire eligibility and Annual Open Enrollment. Reviews benefit plan enrollments via the Ease Platform to confirm all staff have completed their election for the new plan year.
- Administers various employee benefit programs, including medical, dental, COBRA, AFLAC plans, as well as STD, PFL, WC, and 401(k) Pension plan;
- Paid Family Leave (PFL): completes Annual Insurance Report to Submit to Chief Financial Officer, Ensures prompt processing of Paid Family Leave claims (PFL) claims.
- Short-Term Disability (STD) claims and completes Annual Insurance Report to Submit to Chief Financial Officer, ensures prompt processing of Short Term Disability (STD).
- Prepares and maintains all documentation thereof: medical, dental, COBRA, and Aflac Plans offerings.
- Administers Workers' Comp Incident Reports, submitting the necessary forms to the Insurance Carrier, i.e. C-11, C-240. Review the incident report with the injured and their manager to address any safety concerns, if necessary, and take proper steps to prevent future incidents.
- Create annual rolling Purchase Orders for insurance carriers.
- Audits all Insurance carriers' invoices
- Administers the 401(k) Pension Plan to include enrolling new eligible employees, entering their deferral in JC, and submitting deferral information to the Payroll Administrator.
- Follow up on new hires' 90 introductory period alerts to be sure the Manager submits goals to be entered into JC, as well as follow up with new employees to return the Public Relations form.
- Develops, proofreads, and edits all correspondence issued from the Human Resources Department.
- Audits the Unemployment insurance reports for accuracy.
- Records data in operating system (JC) to include such information as addresses, weekly earnings, exempt status, withholdings, pay rates, salaries, and address changes.
- Reviews and monitors Corrective Action Form (CAF) when necessary. Attends meetings when the Manager and /or Supervisor has to address an employee in a verbal meeting or if it escalates to a CAF process. Prepares the Corrective Action form, and sets up meetings with manager and employee and follows-up
- Keep track of office keys as part of onboarding and offboarding processes: Maintain a current list of key holders and provide keys to personnel as needed. Collect keys when people leave.
- Annual Employee event planning to sustain and promote a high level of employee morale including holiday gathering, All in week, retirement, work anniversaries, etc.
- Posts and plans all anniversaries and birthdays quarterly, as per the SOP and sends calendar invites to staff for quarterly birthday/anniversary celebrations.
- Regularly attends HR webinars and seminars for professional development and for the benefit of Creatacor employees.
- Completes Annual Audit for Fair Labor Standards Act (FLSA) to be reviewed Chief Financial Officer.
- Administers Employee’s Shared Responsibility Act (ESR) Annual Reporting and Recordkeeping, when applicable.
- Works with Insurance Brokers on the ESR/ACA reporting and the filing of the 1094 and 1095 reports.
- Organize visits/tours with interns, and students working at BOCES.
- Set up appointments for the New Staffing Agency to visit and have a walk-through of our facility.
- Vendor liaison to temp agencies to get temp help process the invoices & create expense tracking.
- Manage Annual Performance Review Process from start to finish, based on current SOP.
- Ongoing Training and coaching for Managers & Supervisors to improve skills.
- Monitors employee retention and turnover trends.

- Provide Paper Information for Worker Compensation Audit
- Prepare Annual Work for Worker Compensation Credit to submit to broker
- Prepare Annual Insurance report to Carrier for Disability & Paid Family policies
- Request Certificates of Insurance
- Annually Upload all Business Insurance Policies to Google file.
- Oversight and accountability for Payroll Administration.
- Identifies HR compliance opportunities for resolution.
- Order and maintain Apparel & Swag Inventory.
SAFETY:
- Updates and maintains Employee and Safety Manual.
- Coordinates and audits training for employees on various HR and Safety-related topics such as, AED unit, Annual Bloodborne Pathogens, Sexual Harassment, Cybersecurity, Forklift, and all new hire safety training as required.
- Quarterly walk-throughs of the organization to verify all Fire Extinguishers have been inspected and no damage to any.
- Meets with the Albany Fire Extinguisher representative who comes annually to maintain the fire extinguishers.
- Maintains notes in operating system (JC) in the Accident area for the employee who submits an incident report. Keeps this area updated as new reports or information is supplied by employees and or insurance carriers.
- Prepares and files annual OSHA 300 Reports.
- Initiates voluntary OSHA/Department of Labor safety inspections to maintain a safe working environment.
- Maintains safety training records of all required safety training by the company and those required by OSHA regulations in our internal system.
- Assign annual training via third-party, and other training as required by NYS.
- Replenish and order supplies in the Safety Room and maintain the cleanliness of the area.
- Other Projects as Assigned.
QUALIFICATIONS:
- An Associate’s Degree in a related discipline; or comparable experience and a High School Diploma.
- 2+ years of human resources generalist and benefits administration experience is required.
- PHR / SHRM-CP certification (or study towards certification) preferred.
- Knowledge of current recruitment best practices and labor law is required.
- Computer literacy and knowledge of Microsoft Office products are required.
- Strong interpersonal and communication skills are required.
