About the Role:

The Front Office Supervisor in the health care and social assistance sector plays a critical role in ensuring the smooth and efficient operation of the front desk and reception area. This position is responsible for overseeing daily administrative activities, managing front office staff, and serving as the primary point of contact for patients, visitors, and healthcare professionals. The supervisor ensures that all interactions are handled with professionalism, empathy, and confidentiality, maintaining a welcoming environment that supports patient satisfaction and operational excellence. Additionally, the role involves coordinating appointment scheduling, managing patient records, and collaborating with other departments to optimize workflow. Ultimately, the Front Office Supervisor contributes to the overall quality of care by facilitating effective communication and administrative support within the healthcare facility.

We are excited to announce that we are looking for a Full Time, Front Desk Supervisor for Albany Gastroenterology Consultants, in Albany, NY.

Minimum Qualifications:

High school diploma or equivalent; associate degree or higher in healthcare administration or related field preferred.
Minimum of 2 years experience in a front office or administrative role within a healthcare setting.
Proven experience supervising or leading a team in a customer-facing environment.
Strong knowledge of medical office procedures, patient scheduling systems, and healthcare privacy regulations (e.g., HIPAA).
Excellent communication and interpersonal skills with the ability to manage diverse patient populations.

Preferred Qualifications:

Bachelor’s degree in healthcare administration, business management, or a related field.
Experience with electronic health record (EHR) systems such as Epic, Cerner, or Meditech.
Certification in medical office administration or healthcare management (e.g., CMAA, AAPC).
Familiarity with billing and insurance verification processes.
Demonstrated ability to implement process improvements and staff training programs.

Responsibilities:

Supervise and support front office staff, including receptionists and administrative assistants, to ensure high-quality service delivery.
Manage patient check-in and check-out processes, verifying patient information and insurance details accurately.
Coordinate appointment scheduling and maintain efficient patient flow to minimize wait times and optimize resource utilization.
Handle patient inquiries, complaints, and requests promptly and professionally, escalating issues when necessary.
Maintain and update patient records and front office documentation in compliance with healthcare regulations and privacy standards.
Train new front office employees on policies, procedures, and customer service best practices.
Collaborate with clinical and administrative departments to ensure seamless communication and coordination of patient care.
Monitor front office supplies and equipment, ensuring the area is organized and well-maintained.
Generate reports related to front office operations, including patient volume and staff performance metrics.
