ANNUAL SALARY: $68,000

The Advancing Indigenous Science and Engineering Society (AISES) is a national nonprofit organization focused on substantially increasing the representation of Indigenous peoples of North America and the Pacific Islands in science, technology, engineering, and math (STEM) studies and careers.

To this end, AISES provides scholarships and internships, workforce development and career resources, national and regional conferences, leadership development, and other STEM focused programming to Indigenous students and professionals.

Position Summary:

This position will report to the Associate Director of Finance & Accounting and will work closely with the Managing Director of Shared Services, the Senior Director of Grant Management and Compliance, the Vice President of Finance & Accounting and the Managing Director of Programs.

This position will serve as critical support to the finance team within the Shared Services Department along with the programs team on grant financial administration and audit preparation. This role serves as the essential bridge between finance and programs, ensuring alignment on financial data and reporting.

Duties and Responsibilities:
Grant Support Responsibilities:

· Run GL and P&L reports in MIP, (accounting system); and file them in the applicable grant accounting folders for staff to access prior to grant budget tracking meetings, highlighting any unallowable or questionable activity; attend meetings.

· Prepare for and attend grant orientation and revenue recognition meetings for all grants (and applicable sponsorships) including completion of Budget Summaries and Grant Budget Tracking Sheets; a group effort ensuring compliance with non-profit accounting standards, restrictions and reporting requirements.

· Prepare for and attend scholarship meetings. Provide additional data as needed for programs to research scholarship balances and/or overages; Maintain monthly scholarship reconciliation; collaborate with the program and accounting teams.

· Create invoices in MIP from the revenue recognition files for new grants, (and applicable sponsorships) deferring revenue that cannot yet be recognized and log all invoices on the cash flow spreadsheet.

· Responsible for updating all tabs on the Grant and Report Spreadsheet with all new grants and reporting requirements; ensure all reporting deadlines (narrative, social media and financial) are entered in Asana/Salesforce and distribute calendar invites to programs/accounting staff responsible for grant reporting.

· Create new budgets in MIP for all new grants and process budget modification as necessary in MIP.

· Prepare financial reports and FFAFTA subaward reporting for grants.

· Assist in preparation of financials and/or materials for audits, compliance reviews, funder requests, etc.

· Other duties as assigned.

Accounting & Finance Responsibilities:

· Responsible for calculating IDC, followed by creating invoices in MIP for monthly federal drawdowns and submitting through drawdown systems; compile and submit supporting documentation for drawdowns as required by the funding agency and/or auditors; update the AR schedule for federal drawdowns and grant reimbursement invoicing; and log all invoices on the cash flow spreadsheet.

· Review grant AP invoices submitted through accounts payable check run and credit cards for coding compliance and accuracy.

· Maintain monthly asset schedule, analyzing restricted and unrestricted net asset position.

· Prepare and deliver monthly financials for each department; educate and support staff in monitoring budget variances and trends while providing actionable insights.

· Cross check actual timekeepers labor reports against time sheets ensuring accurate coding and allocations

· Add new vendors in MIP.

· Process re-classes in MIP.

· Assist in preparation of financials and/or materials for audits, compliance reviews, funder requests, etc.

· Other duties as assigned.
