Full Job Description

POSITION SUMMARY:

The Clinical Patient Coordinator reflects NMOHC’s philosophy and dedication to superior healthcare and patient interaction and reinforces and adheres to the core values of the company in order to achieve the mission and vision. This position must demonstrate sensitivity and professionalism while assisting patients with checking into the clinic, medical updates and scheduling and follow-up needs.

ESSENTIAL FUNCTIONS:

Essential Functions Statement(s):

Greets patients upon arrival and assists them with check-in process.
Checks in guests/visitors to the facility in compliance with NMCC security and regulatory requirements including but not limited to: Registration of all NMOHC guests/visitors, distributes and retrieves ID badges and notifies appropriate parties of the arrival of guests/visitors.
Monitors the patient’s well-being and takes a proactive approach by being instrumental in making sure the patient’s needs are met and that the patient is queued for their appointment activities in a timely manner.
Queues patients into the facility in a timely manner, communicating opening and positively with all parties involved so that the patient is roomed for the physician by the time of the appointment.
Scans patient’s insurance/pharmacy cards into system, verifies insurances via Unlimited Systems (ULS) or other means (i.e. insurance website or by phone), updates billing department of any insurance changes or co-pay allocation changes
Collects co-pays and co-insurance from patients and ensures all balancing is completed daily.
Verifies, updates, and scans information into the patient’s electronic medical record; and obtains signatures concerning demographics, phone numbers, Signature on File, HIPPA, privacy and emergency contact information.
Inspects waiting areas and stocks and cleans patient refreshment area throughout the day for cleanliness and compliance of HIPAA regulations prior to leaving in the evenings.
Communicates with the Financial Counselors to ensure any co-pays or balances are collected at the time of service or to set up a payment plan for balances.
Review and clear out the Clearwave queue daily to ensure that all patient accounts are closed out.
Schedules, cancels, or reschedules all follow-up appointments.
Removes cancelled or rescheduled appointments from the physicians’ schedules.
Contact patients regarding missed appointments and follows up on no show appointments.
Cancel appointments of deceased patients within an appropriate timeframe.
Transcribes physician orders appropriately using physician’s current orders.
Schedules outside facility, laboratory, and radiology testing, internal scan testing, and/or radiology consultations.
Initiates prior authorizations as needed for outside diagnostic testing as required by the patient’s health insurance plan within the scope of the position.
Monitors and reviews the physicians’ schedules on a daily basis, ensuring templates are followed and scheduling errors are corrected PRIOR to the patient arriving for the visit.
Communicates openly and effectively with the physicians and professional staff.
Answers all phone lines promptly and professionally. Calls should be screened, messages taken, and the appropriate physician should be notified in a timely manner.
Assists with chart prep and scanning.
Obtains vital signs including weight and height.
Records patients vital statistics in the EMR.
Escorts patients to treatment chairs and prepares them for the nurse.
Prepare treatment chairs and exam rooms for patient appointments, keeping the chairs/rooms neat and clean.
Notifies patients of visit delays to ensure good communication.
Understands and follows all safety policies and procedures.
Perform routine cognitive exams as needed. Inform physician and/or nurses of critical results and documents appropriately.
Replenish supplies/low inventory notification (duties as assigned)
Dispose of Biohazard waste on nursing carts as well as near the nursing stations.
Quality control logs

SKILLS & ABILITIES:

Education and Experience:

High School Graduate or General Education Degree (GED)
Minimum of two years’ experience as a Medical Assistant
Minimum of one to two years’ experience with medical scheduling
Three to seven years related experience preferred

Computer Skills:

Intermediate computer skills and ARIA
