Position Summary

The Accounts Receivable (AR) Specialist is responsible for the accurate and timely billing of S3 Technologies' clients and the collection of amounts owed to the company. As a managed IT services provider (MSP), a large share of our revenue is recurring, contract-based, and tied to service delivery, so this role sits at the intersection of our accounting, operations, and service systems. The AR Specialist ensures every billable item is invoiced correctly, payments are applied promptly, receivables are kept current, and clients experience professional, respectful communication throughout the billing cycle. This is an on-site, entry-level position with direct mentorship and a clear path to grow into broader finance and operations responsibilities.

Systems & Tools

The AR Specialist works primarily within the following platforms:

QuickBooks — accounting system of record, invoicing, payment application, and AR reporting.
Syncro — MSP / PSA and RMM platform used for service tickets, contracts, and billing data.
ScalePad Quoter — quoting and proposal platform used to confirm what was sold and approved.
Microsoft Excel — reconciliations, aging analysis, and ad-hoc reporting.

Key Duties & Responsibilities

Billing & Invoicing

Generate, review, and issue accurate customer invoices on schedule, including recurring managed-services agreements, project work, hardware/software, and time-and-materials charges.
Reconcile billing against signed contracts, approved quotes in ScalePad Quoter, and service tickets in Syncro to ensure every billable item is captured and nothing is over- or under-billed.
Verify pricing, quantities, terms, and tax on invoices before they are sent.
Coordinate with operations and service teams to resolve discrepancies between what was quoted, delivered, and billed.

Cash Application & Record-Keeping

Post and apply customer payments (ACH, credit card, check) accurately and promptly in QuickBooks.
Maintain clean, current, and well-documented AR records and customer accounts.
Reconcile the AR sub-ledger and assist in identifying and correcting posting errors.

Collections & Account Management

Monitor accounts receivable aging and proactively follow up on past-due balances by email and phone.
Communicate with clients in a professional, courteous manner that protects the client relationship while securing payment.
Escalate seriously delinquent or at-risk accounts to management with a recommended course of action.
Set up and monitor payment plans when authorized.

Dispute Resolution & Support

Research and resolve billing questions, short-pays, and disputes, partnering with internal teams as needed.
Respond to client billing inquiries promptly and follow through to resolution.

Reporting & Close

Prepare and distribute AR aging and collections reports to leadership on a regular cadence.
Support month-end close activities, including AR reconciliation and revenue verification.
Assist with process documentation and continuous improvement of the billing workflow.

Performance Expectations

Success in this role is measured by accuracy, timeliness, and healthy cash flow. Specific expectations include:

Measure of Expectations

Billing accuracy- Invoices issued with minimal errors, corrections, or re-bills

Billing timeliness- Recurring and one-time invoices issued on the agreed schedule with no missed cycles

Days Sales Outstanding (DSO)- Maintain or reduce DSO toward the company target

Aging health- Keep past-due (60+ day) balances within an agreed threshold

Cash application- Payments applied accurately and typically within one business day

Client communication- Billing inquiries acknowledged promptly and resolved professionally

Accountability

The AR Specialist is directly accountable for the following outcomes:

The completeness and accuracy of client invoicing — every service, contract, and product delivered is billed correctly and on time.
The health of the accounts receivable portfolio — receivables are current, aging is controlled, and collection efforts are consistent and documented.
The integrity of AR records in QuickBooks — payments are applied correctly and accounts reconcile.
The quality of client billing interactions — communication is timely, professional, and protects the relationship.
Timely escalation — management is alerted early to billing risks, disputes, and delinquent accounts, along with a recommended action.

The AR Specialist is expected to take ownership of the billing and collections cycle end to end, follow through independently, safeguard confidential financial information, and operate with a high standard of accuracy and integrity.

Qualifications

Required

0–2 years of experience in accounts receivable, billing, bookkeeping, or a related office/administrative role (relevant internships and coursework considered).
Strong attention to detail and accuracy with numbers.
Working knowledge of QuickBooks or a comparable accounting system.
Proficiency with Excel or Google Sheets.
Clear, professional written and verbal communication skills.
Dependable, organized, and able to manage tasks and deadlines independently.
High degree of discretion when handling confidential financial information.

Preferred (not required)

Exposure to an MSP or PSA platform (Syncro, ConnectWise, Autotask) or ScalePad Quoter.
Familiarity with recurring/contract-based billing models.
Associate's degree or coursework in accounting, finance, or business.

Work Environment & Physical Requirements

On-site, in-office position during standard business hours.
Primarily desk-based work using a computer, phone, and standard office equipment.
Occasional periods of increased volume around month-end and billing cycles.

Job Type: Part-time

Pay: $17.50 - $22.00 per hour
