Full Job Description

Generation Justice (GJ) is seeking a seasoned, organized, great communicator. This is a pivotal role for GJ in building the infrastructure of a growing youth leadership organization. Working closely with the GJ Director, this position supports all operational aspects, including payroll and human resources. This team player will have exceptional organizational skills and experience in non-profit operations and systems development.

RESPONSIBILITIES

Oversight of Budgeting & Payroll :

Oversee all payroll processes and review what the bookkeeper has prepared for the Director.
Ensure that all subscriptions for maintaining programs and operations for GJ are up to date and in compliance.

Prepare budgets for Board of Directors.

Assist with all communications with the GJ Board of Directors
Along with the Director, plan and organize advisory and ambassador meetings and planning sessions
Assist with advisory and ambassador donor drive activities

Supporting Ongoing Operations, Structure, and Programs:

Assist with the planning, management, implementation, and evaluation of all GJ programs, Structural Development of GJ
Oversight of financials saved in Google Drive, NextCloud, and hard drives
Reconcile the finance reports if the bookkeeper cannot
Along with the Director, assist with and maintain building annual operational budgets, including assisting with the accountability of funds through reporting and involvement in securing new funding.
Oversee/Manage timesheets before the payroll process
Oversee/Manage reimbursements
Help to plan and implement fundraising efforts.
Manage donor records and communications
Assist with fundraising events and manage outreach via Mailchimp, Action Network, and other mass communication platforms
Assisting with the management of petty cash
Manage the office inventory

Human Resources/Staff Development:

Assign and supervise daily work plans and review task tracking for program staff members and interns and work-study
Write personnel contracts and assist in managing and communicating with contractors, subcontractors, and commissioned work
Maintain administrative calendar (scheduling staff, youth, and partner reminders & events)
Along with the Director, assist with recruitment, hiring, and staff development.
Maintain youth and staff materials/records in compliance with UNM guidelines
Provide performance assessments for staff
Oversee development assessment of program participants and interns with the Director and Youth Coordinator.

Grant and Contract Management:

Organize and maintain a system for deadlines, deliverables, and contact information for grant proposals (Google Drive and NextCloud)
Track Deliverables for GJ and Partners for the purpose of reporting to funders.
Oversight and maintain data tracking systems and design of new tracking systems as needed
Maintain and update an established procedures manual and personnel handbook

Systems Management and Data Collection and Tracking: (Once a month)

Oversee and maintain all information systems, including Google Drive, Next Cloud, local drives, and hard copies
Ensure that all GJ reporting and training data is being collected in a timely manner.

Other related duties may be assigned as agreed upon and aligned with this position and the mission of Generation Justice.

Qualifications

Personal qualities of integrity, credibility, and commitment to the GJ mission

Minimum of 2 years of experience in Operations Management

Bachelor's degree in related field

Fluency with both Google Suite and Microsoft Suite, especially Excel and Google Sheets

Ability to pass a background check

This is a part-time contract position (20-25 hours per week)
