Position Summary

The Department of Family and Community Medicine seeks a professional, dynamic, customer focused Administrative Assistant 3 to join our team and support our faculty, staff and students. In addition to working with an outstanding team, this position also offers a hybrid schedule working in the office and remotely.

This position will report to the Manager of Administrative Operations and will participate in the following functions:

Front Desk reception to include answering phones, greeting visitors, and scheduling conference rooms.
5R time entry for department faculty.
Audio/Visual/copier/printer and conference room support.
Maintaining the department directory.
Faculty Success data entry.
Creating and formatting documents in MS Office Suite, Adobe, Marq and other software.
Pcard purchases and processing reimbursements. Mail distribution, ordering supplies, and inventory review.
Maintain calendar and provide administrative support for the Vice Chairs of the Department.

Conditions of Employment

If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes.
Knowledge of maintaining office equipment such as printers, copiers, telephones and computers.
Ability to work independently and manage multiple projects.
Excellent customer service skills and problem-solving skills.
Intermediate to Advanced knowledge of Microsoft Office – Word, PP, Excel and Publisher.
Experience with Smartsheets.
Experience with electronic calendaring and scheduling meetings.
File creation and maintenance knowledge.
Experience with front desk duties such as answering and transferring calls and greeting visitors.
