The Senior Administrative Assistant provides high-level administrative, operational, and customer service support to the Executive Director, Executive Leadership Team, and the Developmental Disabilities Council (DDC). This position serves as the agency's primary point of contact for visitors, stakeholders, and the public while managing office operations, records retention, council coordination, executive scheduling, and administrative support functions. The role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Why does the job exist?

The Senior Administrative Assistant serves as the primary administrative and operational support for the agency by ensuring the efficient day-to-day functioning of office operations, providing executive-level support to the Executive Director and Deputy Director, coordinating Council activities, and delivering exceptional customer service to internal and external stakeholders. This position is responsible for maintaining administrative systems, coordinating meetings and travel, supporting financial and records management processes, overseeing office facilities and resources, and ensuring compliance with agency policies and state requirements. The position plays a critical role in promoting organizational efficiency, effective communication, and high-quality administrative support that enables agency leadership and staff to fulfill the mission of the Developmental Disabilities Council.
How does it get done?

Manage the day-to-day administrative operations of the office, including reception, telephone coverage, mail distribution, office supply inventory, copier management, and customer service to ensure efficient agency operations.
Provide executive-level administrative support to the Executive Director and Deputy Director by managing calendars, scheduling meetings, coordinating travel, preparing reimbursements, tracking projects, and handling confidential correspondence and documentation.
Coordinate and support Developmental Disabilities Council meetings by preparing agendas and meeting materials, recording and transcribing minutes, coordinating travel and accommodations, managing hybrid meeting logistics, maintaining Council records, and ensuring compliance with public meeting requirements.
Assist with financial and administrative processes by tracking invoices, processing reimbursements, reconciling assigned accounts, supporting finance staff, and maintaining accurate administrative records.
Serve as the agency Records Custodian by coordinating records retention, storage, retrieval, and destruction in accordance with state records management requirements and agency policies.
Coordinate agency fleet management by maintaining vehicle records, scheduling maintenance and repairs, tracking required documentation, and serving as liaison with the State Motor Pool.
Oversee office facilities by coordinating maintenance requests, managing office access, tracking keys and parking credentials, and ensuring office spaces remain safe, functional, and well maintained.
Perform special projects and other administrative duties as assigned to support agency leadership and organizational priorities.

Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements

Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions

Position will be performed primarily in an office setting, with exposure to Visual/Video Display Terminal (VDT), extensive personal computer and telephone usage, and extended periods of sitting. Must be able to work effectively with diverse client population including individuals with physical, cognitive, and psychiatric disabilities and limitations. In-state travel, including occasional overnight travel. Must be able to lift 25 lbs.
