Full Job Description

We are seeking an experienced and highly organized Orthodontic Office Manager to oversee the daily operations of our orthodontic practice.

The ideal candidate will possess strong leadership skills, comprehensive knowledge of dental office management, and a drive to ensure the success of the practice

This role requires a professional with a background in dental office management, administrative support, and fiscal oversight to ensure smooth clinic operations, compliance with HIPAA regulations, and exceptional patient service. The Office Manager will play a pivotal role in managing staff, financial processes, and clinical workflows to support optimal practice performance.

We are eager to meet with candidates who possess these skills as well as the ability to connect with people from all demographics and phases of life.

Duties (these are examples of some but not all of the potential responsibilities of the OM)

Supervise daily operations, ensuring adherence to healthcare regulations including HIPAA and OSHA standards
Complete billing and collections processes accurately and efficiently
Review and reconcile daily and monthly reports on time and consistenetly
Oversee dental records management, billing, coding, and documentation using Open Dental
Train staff and provide support for doctors and clinical team
Manage fiscal responsibilities including budgeting, financial management, and resource allocation
Lead human resources functions including hiring, training, performance evaluations, and staff development
Coordinate with clinical staff to optimize workflow efficiency in both orthodontic care and general dental settings
Partner with leadership to ensure goals and expectations are met for the practice.
Oversee expense management for supplies and costs
Assist in practice growth initiatives by implementing process improvements and managing patient satisfaction strategies
Support administrative functions related to dental office management and healthcare operations
Engage in marketing and referral processes to bring new patients to the practice

Requirements

Proven experience in dental office management or orthodontic management
Demonstrated supervisory experience leading teams within a clinical setting
Knowledge of HIPAA regulations, dental terminology, dental records management, and healthcare compliance standards
Strong fiscal management skills including budgeting and financial oversight
Experience with medical administrative support functions such as billing, coding, human resources, and practice management
Familiarity with dental and orthodontic processes
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong interpersonal relationship and personal development aptitude
High emotional intelligence

Preferred Skills:

Microsoft suite / Google suite
Spanish or bi-lingual
Project management
Treatment Coordination

Candidates must provide demonstrated experience in the Dental or Orthodontic treatment, as well as industry referrences regarding their skills and experience.

Pay: $20.00 - $28.00 per hour
