Overview

Join a dynamic healthcare environment as a Podiatric Medical Practice Office Manager, where your leadership and organizational skills will drive the smooth operation of a busy podiatry practice. This pivotal role combines administrative expertise with healthcare management, ensuring compliance with health regulations, optimizing patient care workflows, and managing a dedicated team of healthcare professionals. You will oversee daily office operations, coordinate with clinical staff, manage financial processes, and uphold the highest standards of medical administrative support.

Responsibilities

Lead and supervise administrative staff, including receptionists, medical assistants, and billing personnel, fostering a collaborative team environment.
Oversee clinic operations to ensure efficient patient flow, accurate medical records management, and adherence to HIPAA and other health regulation policies.
Manage practice finances through budgeting, fiscal management, and medical billing processes using EMR (Electronic Medical Records) systems: HEALTHFUSION( NEXT -GEN OFFICE)
Oversee human resources functions including hiring, training, performance evaluations, and staff development in accordance with healthcare practice management standards.
Surgery Scheduling:
Complex Pre-Authorizations: Directs the administration of intricate surgical pre-determinations, medical clearances, and explicit insurance approvals for inpatient/outpatient foot and ankle procedures.
Patient Navigation Continuity: Acts as a specialized medical concierge guiding surgical candidates seamlessly through pre-operative instructions, financial clearings, and critical post-operative milestone bookings.
Vendor & Asset Sourcing: Coordinates with specialized podiatric hardware and implant vendors to guarantee necessary surgical equipment and temporary hardware are sterilized and onsite prior to scheduled cases.
Physician Referral Management: Charges the manager with cultivating active referral pipelines from local Fort Worth endocrinologists, primary care physicians (PCPs), and physical therapists to secure steady case flows.
Digital Reputation & Local SEO: Focuses on patient review acquisitions across localized search directories and medical platforms, tracking digital metrics and patient satisfaction to accelerate practice growth.
Patient Experience Architecture: Standardizes frontline workflows to resolve bottlenecks, manage complex podiatric financial questions, and audit patient retention and preventive recall campaigns.
Requirements
Proven experience in medical office management or healthcare practice management with a strong background in medical administrative support. Podiatry experience preferred.
Specialized Billing Framework: Oversees insurance approvals specifically tailored to podiatry, including custom orthotics, therapeutic diabetic footwear, and DME (durable medical equipment) procurement.
Practice Optimization: Manages complex medical software ( NextGen) to maximize clinic scheduling, keep track of daily copays, and streamline the patient intake pipeline.
Staff Leadership: Handle hiring, training, payroll, and performance evaluations for medical assistants and receptionists.
Demonstrated supervisory experience leading teams within a healthcare setting; excellent managerial communication skills are essential.
Proficiency in EMR/EHR system: HEALTH FUSION( NEXT -GEN OFFICE)
Strong understanding of fiscal management, budgeting, medical billing, and healthcare financial processes.
Excellent organizational skills combined with proficiency in Microsoft Office Suite for reporting and documentation purposes.
