SAME has a hybrid work environment. The Creative Services Assistant works full time on-site in our Alexandria, VA office. The position may allow for schedule flexibility for some remote work over time.

POSITION SUMMARY
The Creative Services Assistant provides graphic design, production, coordination, and creative support across SAME’s Communications & Marketing Team (MARCOM). This entry‑level role is designed to assist with graphic design as well as department operations, content preparation and coordination, social/app activities, and website updates. The ideal candidate brings a strong marketing/communications education background and hands‑on experience in Adobe InDesign as well as familiarity with Photoshop, and Illustrator, with the curiosity and initiative to learn and embrace new tools quickly.
As part of a fast-paced, service-oriented environment, this position supports a wide range of design, marketing, and communications work: branding campaigns; marketing of events, programs, and education; news‑gathering and reporting; external outreach; storytelling; web‑related tasks; and support SAME Foundation fundraising campaigns through design, marketing, and communications. Reporting dually to the Associate Director, Marketing and the Associate Director, Communications, the Creative Services Assistant also receives creative mentorship and project prioritization from the Senior Graphic Designer.
RESPONSIBILITIES (percentages are approximate and may shift based on department requirements)
Graphic & Design Support: ~40%
· Update and adapt graphics for print and digital (social tiles, email banners, flyers, signage, web graphics) while ensuring brand consistency.
· Support preparing and packaging files for production (export specs, image prep, resolution checks, preflight/QA/QC) and organize assets for handoff to vendors or internal teams.
· Assist with layout to graphic deliverables (event signage, program inserts, brochures, member recognition graphics, awareness campaigns, recruiting programs, promotional flyers).
· Support maintenance of digital asset libraries and server upkeep (photos, icons, brand elements).
· Support TME and event-related creative needs by executing defined design tasks.
Marketing & Campaign Support: ~30%
· Load approved copy and assets into social media calendar; draft caption options, tag partners/speakers, and route posts for review; assist with onsite gathering during events.
· Prepare and schedule marketing emails in the organization’s email platform; ensure links, images, and lists are accurate, and QA/QC before sending.
· Assist with event/program marketing deliverables (microsite updates, promotional graphics, basic landing-page edits, collateral prep).
· Assist in compiling engagement metrics, survey outputs, and simple reports to inform campaign optimization.
Communications & Content Support: ~ 20%
· Upload blog and web content in CMS (WordPress mainly; others occasionally) using established templates and style guides; format copy, add links, apply tags, and conduct link/accuracy checks.
· Assist with proofreading and light copy edits for web, social, and email; gather quotes/testimonials and conduct light research to support coverage and campaigns.
· Provide on‑site content support at national events (short video clips, photos, quotes) and assist with mobile app updates when needed.
Outreach, Coordination & Team Operations: ~10%
· Coordinate internal requests for graphics or marketing updates; maintain trackers, calendars, and production checklists to keep projects moving.
· Support external outreach and coordination (such as collecting headshots/quotes/testimonials, confirming approvals/consents, organizing shared folders).
· Support editorial projects with coordination and external/internal outreach, to include TME magazine and special features for SAME Newsroom.
· Conduct research for special projects or initiatives.
· Interact with other SAME National Office departments to ensure cross-matrix assistance is being provided by MARCOM.
· Provide general event assistance as assigned.
· Other duties as assigned in support of SAME priorities and operations.
EDUCATION & EXPERIENCE:
· Bachelor’s or Associate’s degree in digital media, graphic design, communications, marketing, or related field preferred
· 0–2 years experience in marketing, communications, or design. Internship experience encouraged.
· Demonstrated proficiency with Adobe InDesign, and familiarity with Photoshop, and Illustrator. Applicants must provide a link to online portfolio or provide 3-5 work examples.
· Proficiency in social media tools.
· Familiarity with Microsoft Office Suite, SharePoint, WordPress/CMS, email platforms, Canva, and basic video editing is a plus.
KNOWLEDGE, SKILLS & ABILITIES:
· Strong organization and attention to detail; ability to follow brand standards and production workflows.
· Clear written communication; basic proofreading; comfort with style guides and templates.
· Familiarity with LinkedIn, Instagram, Facebook, YouTube; comfortable with preparing and adapting content for mobile app posts.
· Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
· Positive, service‑oriented attitude; ability to collaborate across teams and manage multiple assignments in a fast‑paced, deadline‑driven environment.
· Commitment to SAME’s mission; eagerness to support fundraising and philanthropy causes.
· Fast-learner who is eager to provide hands-on impact to a variety of MARCOM functions.
· Ability to pick up and carry 30 pounds and travel occasionally for national events.
Pay: $50,000.00 - $55,000.00 per year
