Job Overview
We are seeking a dynamic and organized Office Administrator to join our team! In this vital role, you will manage daily office operations, support staff, and ensure a smooth workflow across all departments. Your energetic approach and exceptional organizational skills will help foster an efficient, welcoming environment that reflects our dedication to excellence. Responsibilities

This position serves as the central point of communication for the facility, helping ensure smooth business operations while creating a professional and welcoming environment for employees, visitors, vendors, and customers. The ideal candidate thrives in a fast-paced manufacturing environment, is detail-oriented, and enjoys supporting a variety of teams and projects.

Essential Responsibilities

Front Desk & Visitor Management

· Serve as the first point of contact for visitors, vendors, contractors, and guests.

· Manage visitor sign-in procedures and issue visitor badges.

· Direct visitors to appropriate personnel while ensuring compliance with facility access, food safety, and security requirements.

· Assist with facility communications and building-related inquiries.

Mail, Shipping & Receiving Coordination

· Receive, sort, and distribute incoming mail and packages.

· Coordinate outgoing shipments through FedEx, UPS, and other carriers.

· Create shipping labels and maintain shipment records.

· Support departments with sample shipments and package tracking.

· Coordinate communications between carriers, vendors, and internal teams.

Office Administration

· Manage conference room schedules and meeting logistics.

· Coordinate catering, refreshments, and meeting setup.

· Maintain office supply inventory and place orders as needed.

· Ensure office common areas remain organized and professional.

· Coordinate office vendors including cleaning, vending, maintenance, and office equipment providers.

· Assist with travel arrangements and expense documentation.

· Support company events, employee meetings, and special projects.

Logistics & Supply Chain Support

· Provide administrative support for purchasing, inventory, and supply chain activities.

· Maintain shipping, receiving, and procurement records.

· Assist with purchase order tracking and vendor communications.

· Coordinate delivery schedules and logistics-related documentation.

· Generate reports and update spreadsheets to support operational decision-making.

· Facilitate communication between operations, warehouse, purchasing, and external vendors.

Production & Operations Support

· Provide administrative support to Production and Operations leadership.

· Maintain production reports, records, and departmental documentation.

· Assist with data entry, filing, and document control activities.

· Coordinate production meetings and operational communications.

· Track departmental action items and assist with follow-up activities.

· Support operational improvement projects as assigned.

Leadership Support

· Assist leadership with reports, presentations, correspondence, scheduling, and special projects.

· Coordinate meetings and support executive administrative needs as assigned.

Qualifications

Required

· High school diploma or equivalent.

· Minimum of 3 years of administrative, office management, customer service, or related experience.

· Strong organizational and multitasking skills.

· Excellent verbal and written communication skills.

· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

· Ability to prioritize tasks and work independently in a fast-paced environment.

· Strong attention to detail and accuracy.

Preferred

· Experience in a manufacturing, logistics, warehouse, supply chain, or production environment.

· Experience with ERP, inventory management, or purchasing systems.

· Bilingual English/Spanish.

· Experience supporting senior leadership and cross-functional teams.
