Overview

Join our dynamic healthcare team as a Mental Health Practice Administrator, where you will lead the operational and administrative functions of a busy mental health practice. This vital role combines healthcare management expertise with exceptional organizational skills to ensure smooth daily operations, compliance with healthcare regulations, and outstanding patient service. As the cornerstone of our practice, you will oversee staff management, financial oversight, and compliance activities, fostering an environment of efficiency and compassionate care. Your energy, leadership, and attention to detail will drive the success of our mental health services and enhance patient experiences.

Responsibilities

Manage daily clinic operations, including scheduling, patient flow, and administrative workflows to optimize efficiency.
Supervise healthcare staff, including clinicians, administrative support, and clinical assistants, ensuring team cohesion and high performance.
Oversee fiscal management tasks such as budgeting, billing processes, financial reporting, and resource allocation to maintain financial health.
Ensure compliance with healthcare regulations including HIPAA privacy standards, JCAHO accreditation requirements, and state/federal policies.
Utilize electronic health record (EHR) systems such as eClinicalWorks or Dentrix for accurate medical records management and patient data security.
Coordinate medical office functions including appointment scheduling, patient management software use, and medical billing procedures.
Support human resources activities such as staff onboarding, training on medical terminology and medical administrative support protocols.
Maintain knowledge of healthcare practice management best practices related to managed care, utilization management, and health regulation policy updates.

Requirements

Proven experience in medical office management or healthcare practice administration within mental health or dental clinics.
Strong supervisory skills with experience managing teams in a healthcare setting.
Proficiency in EMR/EHR systems such as TherapyNotes; familiarity with managing electronic health records securely.
Knowledge of healthcare regulations including HIPAA compliance and JCAHO standards.
Expertise in fiscal management including budgeting, financial reporting, and medical billing processes.
Excellent managerial communication skills paired with customer service orientation to support staff and patients effectively.
Background in nursing or acute care experience is preferred; dental clinic experience is a plus.
Familiarity with Microsoft Office Suite for documentation and reporting purposes.
Ability to handle complex medical records management while maintaining confidentiality and accuracy.
