Full Job Description

We're seeking an organized and driven team member that understands and is proficient with Quickbooks and multi location bookkeeping. The position reports to the CEO and COO - the owners. Oversees the day-to-day accounting & finance functions at the Company, working with our Local Accountant. Top qualities include possessing sharp attention to detail and organizational skills with impeccable integrity.

The Bookkeeper will be responsible for financial accounting and reporting, billing invoices / statements, accounts receivable and payables, and payroll in addition to other items as assigned. You will work with a team of others in the office including the Office Manager and Our Executive Assistant.

Must have ability to review, analyze and interpret financial and budgetary reports.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Daily updates to multi location QBO (Quickbooks)
Process purchase order requests from field, vetting with COO for approvals; managing reports for company Amazon account
Ensure daily cash posting procedures are following properly.
Complete vendor / dealer billing monthly by 7th business day of the month or sooner.
Assist customers with billing questions.
Prepare debit / credit review packet for approval by COO or CEO for the company.
Work with the field to assist with their weekly reports; completing them if needed to ensure timeliness with reporting.
Maintaining the Company’s financial policies and procedures, working with field offices and our local office to ensure everyone is working in the same direction.
Coordinating the Company’s relationship suppliers, vendors and government agencies - whether collecting payments, issuing invoices / statements, recording payments, answering questions in a timely fashion, etc.
Maintain payroll records and update new hire documents via Paychex systems.
Update benefits programs for employees and contractors; ensure working in conjunction with onboarding / vendors.
Managing the Company’s business insurance policies
Ensure completion and review of bank reconciliations along with local Accountant
Oversee and maintain collection process, reaching out to customers who have fallen behind in payments.
Monitor customer accounts receivable & collections process
Record payments from our merchant services accounts (i.e. Stripe, Authorize.net, Pre 1 / Smart Publisher, etc)
Collaborate with other corporate departments and field locations managers
Oversee on-boarding new locations and new hires to the RWPG Company structure
Special projects as needed.
Responsible for office cleaning; if directed oversee schedules and or cleaning services.
This is a busy, fast paced office - self direction is critical as well as team work in this hybrid tradition and startup structure in the world of media and marketing and studio broadcast / podcast.
Everyone on the team works hard to achieve goals and deadlines.
