Position Description

Title: Administrative Assistant

Reports to: President/CEO

Employee Type: Full Time/Non-Exempt

Position Overview:

The Administrative Assistant provides essential administrative and front-office support to the Alpena Area Chamber of Commerce. This role serves as the first point of contact for members, visitors, and community partners, helping create a welcoming and professional environment while supporting daily operations and organizational projects.

Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Proficiency in Microsoft Office, Canva and ability to learn new software systems
Effective time management and problem-solving skills
Ability to follow oral and written instructions
Satisfactory typing and data entry skills
Team-oriented with a positive, flexible attitude

Administrative & Front Office Support

Answer and direct incoming phone calls for the Alpena Area Chamber of Commerce

and Target Alpena staff.

Greet and assist visitors, members, and community guests in a professional and welcoming manner
Provide reception services, including visitor check-in, message taking, and routing

inquiries to appropriate staff

Maintain a clean, organized, and professional front office environment
Sort and distribute incoming mail and prepare outgoing mailings (bulk and regular)
Maintain both physical and electronic filing systems
Coordinate scheduling support, meeting room reservations, and basic calendar assistance as assigned

Clerical & Operational Support

Perform general clerical duties including copying, filing, emailing, and data entry
Create and edit documents using Microsoft Office (Word, Excel, PowerPoint, Publisher) and Canva
Track and manage office inventory and merchandise sales
Process Downtown Dollar Gift Cards

Member & Community Support

Answer basic questions about Chamber membership and services
Assist visitors with general information about the Alpena community
Assist with welcome packets and new member materials
Assist in onboarding new members (packets, emails, and follow-up)

Communications & Marketing Support

Maintain the community calendar
Assist with organizational communications, including emails and newsletters
Update Chamber website and social media pages
Support marketing and promotional efforts as needed

Event & Program Support

Assist with event coordination tasks, including RSVPs, registrations, and payment handling
Support Chamber events as needed

Target Alpena Support

Serve as the primary front desk contact for Target Alpena visitors and callers
Assist with light bookkeeping functions, including invoice tracking, data entry, expense documentation, payment processing support, and maintaining financial records as directed
Answer basic questions and direct inquiries to the appropriate Target Alpena staff member
Provide administrative support for Target Alpena, including scheduling assistance, message handling, and document preparation as assigned
Assist with maintaining organized records and distributing information related to Target Alpena programs and services
Support Target Alpena meetings, events, and stakeholder interactions as needed
Maintain confidentiality regarding Chamber and Target Alpena proprietary, business, and client information

Additional Responsibilities

Perform other duties as assigned by the Chamber President & CEO and Target Alpena Executive Director

Work Schedule

This is a non-exempt, hourly position. The standard workweek is up to 40 hours, with a generally consistent daytime schedule to support front office operations. A flexible schedule may be required based on organizational needs, including occasional early mornings, evenings, or special events. Overtime will be compensated in accordance with applicable labor laws.
