Full Job Description

The Communications Coordinator supports the visibility, reputation, and community engagement of YWCA Southwestern Illinois by developing clear, timely, and visually appealing communications.

This position creates and coordinates content for newsletters, social media, the YWCA website, event promotions, donor communications, program announcements, and other public-facing materials. The Communications Coordinator works closely with the Executive Director and program staff to ensure that communications accurately reflect YWCA programs, outcomes, events, mission, and brand.

Because this position requires focused writing, design, and planning time, some work may be completed remotely with approval. Attendance at selected programs and events may be required to gather stories, photographs, and content.

Essential Duties and Responsibilities

Content Development

Write, edit, and format newsletters, program announcements, donor updates, event promotions, and community communications.
Develop engaging stories that highlight YWCA participants, programs, partnerships, outcomes, volunteers, donors, and community impact.
Interview staff, participants, volunteers, or partners when appropriate to gather information for stories and communications.
Maintain a consistent organizational voice that reflects the YWCA mission and values.
Proofread communications for accuracy, grammar, tone, and consistency.

Social Media

Develop and maintain a consistent social media posting schedule.
Create posts for YWCA social media platforms using information supplied by staff and program leaders.
Design accompanying graphics, flyers, photographs, and promotional materials.
Monitor basic engagement and identify content that performs well.
Coordinate timely promotion of programs, registration periods, fundraising efforts, events, and community activities.
Ensure appropriate permissions are obtained before publishing participant photographs or identifying information.

Website and Digital Communications

Update website pages with current program information, staff information, event details, forms, announcements, and photographs.
Identify outdated or incomplete website content and recommend revisions.
Maintain consistency between website information, flyers, newsletters, and social media.
Assist with email campaigns through Constant Contact or a similar platform.
Maintain organized electronic files of photographs, logos, templates, completed communications, and marketing materials.

Design and Promotional Materials

Create professional flyers, social media graphics, invitations, signage, presentation materials, and other promotional pieces using Canva or similar software.
Follow YWCA branding requirements, including use of approved logos, colors, fonts, and messaging.
Coordinate printing or electronic distribution of approved materials.
Adapt content for multiple formats, including print, email, website, and social media.

Communications Planning

Maintain a communications calendar that includes programs, events, fundraising campaigns, holidays, donor recognition, grant announcements, and organizational milestones.
Meet regularly with the Executive Director to identify communications priorities.
Gather content from program staff and establish reasonable submission deadlines.
Assist with basic media releases, community announcements, and public relations materials.
Track communications projects and ensure materials are completed and published on schedule.

Required Qualifications

Experience in communications, marketing, journalism, public relations, social media, graphic design, nonprofit communications, or a related field.
Strong writing, editing, and proofreading skills.
Experience using Canva or similar design software.
Experience managing social media accounts for an organization, business, or community group.
Experience with website content management and Constant Contact preferred.
Ability to translate program information into clear, engaging public-facing content.
Strong organizational skills and ability to manage deadlines.
Ability to work independently while following approval procedures.
High school diploma required; associate or bachelor’s degree in communications, marketing, journalism, English, public relations, or a related field preferred. Relevant experience may be substituted for formal education.
Ability to successfully complete required background checks.
