Sterling Properties is seeking a dependable, organized, and proactive Executive Assistant ? Office Manager to join our team in Amarillo. This position is ideal for someone who enjoys variety in their day, takes pride in keeping an office running efficiently, and thrives in a professional, fast-paced environment.
As the Executive Assistant / Office Manager, you will oversee the daily administrative operations of our office while providing executive-level support to both the President and Vice President. This is a trusted role that requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities with confidence.
Responsibilities
- Manage the day-to-day operations of the office.
- Answer and direct incoming phone calls professionally.
- Pick up and sort mail from the post office.
- Process remote bank deposits and make occasional in-person bank deposits.
- Run office errands, including trips to the bank, post office, and office supply stores.
- Maintain office supply inventory and order materials as needed.
- Organize and maintain both physical and digital filing systems.
- Assist with scanning, copying, filing, and general administrative support.
- Coordinate calendars, appointments, and daily schedules for the President and Vice President.
- Coordinate with vendors, contractors, tenants, and onsite personnel.
- Assist with accounts payable and accounts receivable for commercial real estate operations and affiliated business entities.
- Provide administrative support related to investment properties, business interests, and executive projects.
- Handle confidential business and financial information with the highest level of discretion.
- Help maintain a professional, organized, and efficient office environment.
Qualifications
- Previous experience as an Office Manager, Executive Assistant, Administrative Assistant, or in a similar administrative role.
- Commercial real estate or property management experience is strongly preferred.
- Experience supporting executives or business owners is highly desirable.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple responsibilities and work independently.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Experience with bookkeeping, accounts payable/receivable, or banking procedures is a plus.
- Valid driver's license and reliable transportation for local errands.
- High level of integrity and ability to maintain strict confidentiality.
