Overview
Job Title: Accounting Administrator / Title Clerk Assistant

Department: Accounting / Administrative

Position Summary

The Accounting Administrator / Title Clerk Assistant supports dealership financial and administrative operations through accurate processing of accounting, title, and vehicle documentation. This role assists the accounting, sales, and finance teams while ensuring compliance with state, lender, and manufacturer requirements.

Essential Duties and Responsibilities1. Finance & Sales Assistance and Compliance

Support the Finance & Insurance (F&I) department with deal submissions and funding follow-ups.
Audit deal jackets for completeness and compliance with dealership and manufacturer standards.
Ensure timely funding and resolution of deal discrepancies.
Assist sales management with reports, data entry, and documentation related to transactions.

2. Vehicle Reporting

Maintain accurate records of vehicle purchases, sales, and inventory transactions.
Reconcile manufacturer and internal vehicle reports to the general ledger.

3. Incentive Submission and Receivables

Prepare and submit manufacturer incentive claims in accordance with program requirements.
Track outstanding incentive receivables and reconcile payments received.
Maintain documentation for audit compliance and coordinate with management on discrepancies or chargebacks.
Communicate with OEM representatives as needed to resolve incentive-related issues.

4. Loaner Program Reporting and Tracking

Maintain the dealership’s loaner inventory, including mileage logs, utilization reports, and vehicle status.
Reconcile manufacturer loaner reimbursements and report variances to management.

5. Internal Account Reconciliation

Reconcile general ledger accounts monthly, including schedules for deposits and vehicle-related accounts.
Research and correct discrepancies to ensure accuracy in financial statements.
Assist in preparing information for month-end and year-end closings.

6. Administrative Office Support

Provide general office administrative support to management and staff as needed.
Assist with document management, filing, scanning, and maintaining organized records.
Support dealership compliance efforts and assist with audits or financial reviews.
Greet and assist visitors, vendors, and internal departments professionally.

7. Title Clerk Assistant Duties

Assist with preparation and processing of vehicle titles, registrations, and license plate documentation.
Verify accuracy of title paperwork, including buyer information, lienholder data, and odometer disclosures.
Submit title and registration documents to state agencies in a timely manner.
Track title status and follow up on missing documents or corrections as needed.
Maintain organized title files and ensure compliance with state and dealership requirements.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
