SCOPE OF WORK
This position assists the Provost with administrative support ranging from complex to routine duties, all of which contributes to the efficient and professional operation of the Academics, Student Support, Workforce, Cooperative Extension, and Center for Health Departments. The Administrative Assistant must have excellent verbal and written communication skills, be organized, be able to prioritize tasks, and work independently.
DUTIES & RESPONSIBILITIES
- Provide clerical support to the Provost, coordinate office operations, and manage calendars and schedule to make certain that identified priorities are addressed in a timely manner.
- Follow up with staff to ensure requests and correspondence is responded to on a timely basis; establish tracking system to ensure concerns are recorded, addressed and response aligns with college policies.
- Work in coordination and cooperation with internal and external departments to support smooth management and operation. Assist with scheduling meetings and preparing meeting materials in advance.
- Gather information and prepare reports, spreadsheets, and other documents as requested.
- Assist with budget management, maintaining a cuff account and monitoring budget status and expenditure.
- Assist with ensuring adherence to institutional procedures or funding agency guidelines regarding tasks such as budgeting, purchasing, and reporting.
- Accurately prepare documents such as those related to travel, purchasing, budget and event coordination.
- Maintain a common filing system, for example, college initiatives, data, reports, grant files and budgets.
- Reconcile credit card statements, travel and other bills to receipts for submission to the Business Office in a timely manner.
- Maintain records including vacation and leave requests for staff who report to the Provost.
- Ensure a safe and healthy work environment by complying with the college health and safety policies.
- Actively contributes to the fulfillment of Northwest Indian College's mission by integrating its values of Indigenous rooted identity, cultural preservation, academic achievement, and service to Tribal communities into daily responsibilities and decision-making.
- Other duties as appropriate assigned by supervisors.

There are no supervisory responsibilities assigned to this position.
QUALIFICATIONS to perform the position successfully:
Minimum Qualifications:
- Associate's degree and 2 years of prior experience in the field
- Proficiency with Microsoft Office and Adobe Acrobat
- Excellent communication, organizational and customer service skills
Preferred Qualifications:
- Experience working in higher education and with grants
- Experience working with cuff accounts
- Experience with, and sensitivity to Native American people and resolving challenges of entering post-secondary education programs
Other Qualifications:
- Must have a current driver's license and driving abstract that meets employer qualifications for insurability.
Language Skills:
- Ability to read and interpret documents such as policies, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with customers or employees of organization.
Mathematical Skills:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to create and interpret bar graphs.
Reasoning Ability:
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer Skills:
- To perform this job successfully, an individual should have knowledge of Cuff accounting software, spreadsheet and word processing software.
