Full Job Description

A Current Affair produces retail trade show events from the ground up, and we're looking for an Events Operations & Admin Coordinator to keep the business side of our shows running smoothly. This role is a mix of contracts, bookkeeping, vendor coordination, and general office support — a great fit for someone who's organized, detail-oriented, and comfortable juggling several moving pieces at once. You'll work closely with our production and marketing teams to make sure every event is backed by solid paperwork, timely payments, and reliable vendors.

**What You'll Do**

- Draft, review, and track contracts and agreements with clients, vendors, and venues

- Process payments, invoices, and expense reports, and maintain accurate bookkeeping records

- Secure and manage certificates of insurance, and coordinate with our insurance providers as needed

- Source, vet, and book third-party vendors (AV, catering, decor, security, etc.) for events

- Maintain organized digital and physical filing systems for contracts, invoices, and vendor records

- Provide general office support, including scheduling, correspondence, supply ordering, and other administrative tasks as needed

- Assist with light budget tracking and reporting for individual events

**What We're Looking For**

- 1-3 years of experience in an administrative, bookkeeping, or operations support role (events industry experience a plus, but not required)

- Comfortable reviewing and drafting basic contracts and agreements

- Familiarity with bookkeeping or accounting software (e.g., QuickBooks) and general comfort with numbers

- Strong written and verbal communication skills, especially when working with vendors and clients

- Highly organized with excellent attention to detail and follow-through

- Ability to manage multiple deadlines and priorities in a fast-paced environment

- Proficiency with Microsoft Office / Google Workspace
