Director of Administration & Finance

Reports To: President

Position Summary

The Director of Administration & Finance provides strategic leadership for the company's Finance, Accounting, Human Resources, Payroll, and Administrative functions. This executive role is responsible for financial stewardship, organizational planning, risk management, business administration, and developing high-performing teams that support NSTI's operational and strategic objectives.

Key Responsibilities

Executive Leadership

Lead the Administration & Finance organization in alignment with company goals and strategic priorities.
Serve as a trusted advisor to the President and executive leadership on financial, administrative, operational, and organizational matters.
Establish departmental objectives, service standards, budgets, and performance expectations.
Build a culture of integrity, accountability, collaboration, and continuous improvement.

Financial Leadership

Lead the annual budgeting, forecasting, cash flow management, and financial planning processes.
Provide accurate financial reporting, analysis, and recommendations to support executive decision-making.

Monitor financial performance, identify business risks, and recommend strategies to improve profitability and operational efficiency.

Support long-term business planning, capital investments, and organizational growth.

Accounting & Internal Controls

Provide executive oversight of accounting, payroll, financial reporting, and internal controls.
Ensure compliance with GAAP, company policies, regulatory requirements, and sound financial practices.
Oversee audits, banking relationships, insurance, licensing, tax coordination, and financial compliance activities.
Safeguard company assets through effective financial controls and governance.

Human Resources & Administration

Provide leadership and support to Human Resources while promoting a positive employee experience.
Oversee administrative functions, corporate insurance, licensing, records management, and business continuity planning.
Partner with department leaders on workforce planning, organizational development, and employee engagement.
Ensure consistent, fair, and compliant employment practices.

Systems & Continuous Improvement

Lead improvements to financial, payroll, HR, and administrative systems and processes.
Develop meaningful financial and operational KPIs, dashboards, and executive reporting.
Promote process improvements that increase efficiency, accountability, and customer service across the organization.

Qualifications

Education

Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field required.
MBA, CPA, CMA, or other relevant professional certification preferred.

Experience

Eight (8) to ten (10) years of progressive leadership experience in finance, accounting, business administration, or related disciplines.

Minimum five (5) years of senior management or director-level leadership experience.
Experience leading cross-functional business support teams and advising executive leadership.
Experience in construction, telecommunications, engineering, or project-based industries is preferred.

Knowledge & Skills

Strong knowledge of financial management, budgeting, forecasting, accounting, payroll, internal controls, and GAAP.
Understanding of Human Resources, risk management, insurance, licensing, and business administration.
Excellent leadership, communication, organizational, and decision-making skills.
Experience with ERP/accounting systems, Microsoft Office, financial reporting, and business analytics.
Ability to manage confidential information with professionalism and integrity.

Working Conditions

Primarily office-based with occasional travel to company locations, customer sites, or business meetings.
May require additional hours during budgeting, audits, month-end and year-end close, insurance renewals, and other business-critical activities.
Must demonstrate sound judgment, professionalism, and commitment to NSTI's safety culture and core values.
